Wentworth Health Partners (WHP), an affiliate of Wentworth-Douglass Hospital and a member of Mass General Brigham Medical Group, offers specialized Endocrinology and Diabetes Care at its state-of-the-art facility in Dover, NH. This practice provides comprehensive care for patients with endocrine conditions, including diabetes, thyroid disorders, and other hormonal disorders, with a focus on specialized diagnostics, treatment, and advanced patient education programs. The organization is hiring a per-diem Clinic/Practice Assistant to join the Endocrinology team. In this role, the assistant will help fill staffing gaps due to call-outs, vacations, leaves, and vacancies. Clinic/Practice Assistants are integral to the operations of community-based physician practices, providing dedicated administrative support, serving as gatekeepers, and ensuring a high-quality patient experience that exceeds expectations. They perform both administrative and clinical functions to support smooth and efficient clinical service or practice operations under close to general supervision, handling basic clerical work and routine tasks in a high-volume outpatient setting.

Requirements

  • High School Diploma or Equivalent required
  • 0-1 year healthcare office experience required
  • Basic Proficiency with all Office Suite
  • Knowledge of office operations and standards and understanding of office procedures including filing, copying, scanning, printing and faxing
  • Ability to use phone system and manage more non-routine phone calls and solve routine issues as appropriate
  • Communicating effectively in writing as appropriate for the needs of the audience
  • Talking to others to convey information effectively
  • Understanding written sentences and paragraphs in work related documents, to correspond and communicate with others clearly and effectively (including composing/editing e-mail, memos and letters), and to take complete and accurate messages
  • Managing one's own time and the time of others
  • Well organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems

Nice To Haves

  • Experience in healthcare or customer service, ideally within a medical office setting
  • Demonstrated knowledge of medical terminology
  • Strong computer skills

Responsibilities

  • Help fill staffing gaps caused by call-outs, vacations, leaves, and vacancies
  • Field all incoming telephone calls and route appropriately
  • Perform referral/diagnostic/lab orders processing duties
  • Monitor patient flow and waiting room activity
  • Provide general support to practice leadership, clinicians, and peers
  • Perform routine administrative and clerical duties relating to a clinical service or physician practice office
  • Make patient appointments and maintain appointment records
  • Greet and assist patients
  • Answer telephones, assist callers with routine inquiries, and schedule appointments
  • File materials in patient folders, and print appointment schedules
  • Process patient billing forms and scan documents to patient medical record/LMR
  • Call for patient medical records and laboratory test results
  • Open and distribute mail or faxes
  • Type forms, records, schedules, memos, etc., as directed
  • May be required to accept co-payments
  • Handle, screen and/or take messages related to prior authorizations, referrals, and verify registrations for accuracy
  • May monitor patients in waiting room and respond to any needs for information
  • Assist in patient flow processes
  • May be asked to float to other departments in the WHP system when appropriate and needed during times of staffing shortages/other extenuating circumstances for cross-coverage purposes and to ensure adequate coverage and support
