The Kaplan Joint Center at Newton‑Wellesley Hospital at 2014 Washington Street in Newton, MA provides comprehensive surgical and non‑surgical care for patients with joint pain. Our expert orthopedic surgeons specialize in joint reconstruction and replacement, helping patients achieve improved mobility, reduced pain, and a better quality of life. We treat a wide range of conditions, including degenerative joint disease, joint malalignment, soft tissue injuries, and cartilage damage, and are committed to supporting patients and their families from diagnosis through recovery and long‑term follow-up care. We are seeking a full-time 40-hour Clinic/Practice Assistant to join our Joint Center practice Monday through Friday from 7:30am-4:00pm. This is an exciting opportunity to work 'behind-the-scenes' coordinating all aspects of surgical scheduling and administrative preparation. This role will manage surgery dates, post‑operative coordination, and patient correspondence, while working closely with surgeons, clinical teams, and vendors to ensure everything is in place for a smooth surgical experience. This position is primarily non‑patient‑facing and focused on coordination, communication, and logistics. Requirements

  • High School Diploma or Equivalent required
  • 3-5 years office experience required
  • Strong technology and MS Office skills – Advanced Outlook, Word, Excel, PowerPoint
  • Knowledge of office operations and standards and understanding of office procedures including filing, copying, scanning, printing and faxing.
  • Ability to use phone system and manage more non-routine phone calls and solve routine issues as appropriate.
  • Communicating effectively in writing as appropriate for the needs of the audience and Talking to others to convey information effectively.
  • Understanding written sentences and paragraphs in work related documents, to correspond and communicate with others clearly and effectively (including composing/editing e-mail, memos and letters), and to take complete and accurate messages.
  • Managing one's own time and the time of others.
  • Well organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems.
  • Ability to proofread and edit written documents.

Responsibilities

  • Perform routine administrative and clerical duties relating to a clinical service or physician practice office.
  • Make patient appointments and maintain appointment records.
  • Assist callers with routine inquiries, and schedule appointments.
  • Process patient billing forms and scan documents to patient medical record/LMR.
  • Acts as "Super User" for scheduling, registration and billing systems.
  • Provides assistance and training to others in these areas.
  • May perform more complex or specialized functions (i.e. surgical scheduling, schedule changes/blocking) at more advanced competency level.
  • Provides functional guidance to Office and Practice Assistants.
  • In conjunction with Supervisor oversees daily activities of practice staff.
  • May be required to accept co-payments.
  • Handles, screens and/or takes messages related to prior authorizations, provider questions, prescription refills, and test results.
