This is a Full Time 40hr position, with department hours from 7am to 6pm, and front desk coverage from 6:30am to 5pm. There is an option to work either 5 eight-hour shifts or 4 ten-hour shifts. The role involves performing both administrative and clinical functions to support smooth and efficient clinical service or practice operations under general supervision. The position includes basic clerical work and tasks that are repetitive and routine, with a focus on enhancing the patient/customer service experience within the Molecular Imaging Department.

Requirements

  • High School Diploma or Equivalent required.
  • 2-3 years of office experience required.
  • Certified Medical Administrative Assistant [CMAA] preferred.

Responsibilities

  • Perform routine administrative and clerical duties relating to a clinical service or physician practice office.
  • Make patient appointments and maintain appointment records.
  • Greet and assist patients.
  • Answer telephones, assist callers with routine inquiries, and schedule appointments.
  • File materials in patient folders and print appointment schedules.
  • Process patient billing forms and scan documents to patient medical record/LMR.
  • Call for patient medical records and laboratory test results.
  • Open and distribute unit mail or faxes.
  • Type forms, records, schedules, memos, etc., as directed.
  • May be required to accept co-payments.
  • Handle, screen and/or take messages related to prior authorizations, provider questions, prescription refills, and test results.
  • Act as 'Super User' for scheduling, registration and billing systems.
  • Provide assistance and training to others in these areas.
  • Perform more complex or specialized functions (i.e. surgical scheduling, schedule changes/blocking) at more advanced competency level.
  • Arrive, schedule, re-schedule and cancel patient appointments in the Radiology Information System (RIS), obtaining patient clinical indications and other pertinent data.
  • Enter, edit and confirm patient demographics, financial and clinical elements.
  • Assist patients with updating hospital registration information.
  • Follow all safety guidelines/policies to include correct patient identification, Hand Hygiene, etc.
  • Provide patients with appropriate documentation for imaging exams.
  • Review, update, print and distribute the daily patient schedule to appropriate personnel.
  • Identify any add-on exams and inform the appropriate personnel of any scheduling changes.
  • Respond to telephone requests and inquiries where appropriate.
  • Triage clinical inquiries to appropriate personnel.
  • Engage management and staff for communicating patient appointment delays.
  • Keep abreast of exam room availability and any schedule deviations and instrument downtime.
  • Assist with activating interpreter services and volunteers when necessary.
  • Provide medical transcriptions of certain procedures using appropriate medical terminology and knowledge.
  • Maintain cleanliness of desk/general waiting area and stock/ordering of department office supplies.
  • Alert management of any environmental issues associated with the general waiting area.
  • Assist in the orientation and training of new support staff members.
  • Scan appropriate documents in the RIS.
  • Troubleshoot problems with customer service issues.
  • Perform additional duties and responsibilities as determined by Operations/Technical Managers.
