About The Position

Position Highlights: Position: Clinic Patient Registration Manager Job Type: Exempt Location: Western Orthopedic and Sports Medicine Responsibilities: Supervise the daily tasks of all non-clinical staff and serve as the primary point of contact for staff questions. Maintain a working knowledge of all areas under supervision to provide hands-on support wherever needed. Trained and proficient in prior authorizations, surgery scheduling, and MRI scheduling. Address patient concerns appropriately and escalate issues to the director when necessary. Assist the director in setting goals and implementing strategies to achieve desired upfront money collection targets. Hold staff accountable for productivity, including managing low-census staff as needed. Ensure accurate daily money collections, verifying and balancing at the end of each business day. Assist the director in developing, writing, and updating policies and procedures for all supervised areas to ensure accountability, accuracy, and productivity; recommend improvements as appropriate. Collaborate with the Practice Registration Manager to ensure patient charts are accurate and errors are corrected. Manage all aspects of human resources for non-clinical staff, including interviewing, hiring, performance planning, coaching, training, orientation, and conducting annual performance reviews. Order all non-clinical office supplies with director’s approval. Schedule and facilitate biweekly team meetings, with support from the director. Collect and document legal reimbursement hours from providers, completing required forms for director’s approval. Create monthly schedules and manage daily schedule changes due to illness or low census. Review reports to identify denials and edits, assist billing teams in correcting claims, and suggest action plans and workflow improvements to prevent future issues. Collaborate with the Practice Registration Manager to provide ongoing education and training for registration and scheduling staff. Approve time-off requests and timecards. Provide supervision and hands-on support for patient registration staff at offsite clinics (e.g., wound care clinic) as needed.

Requirements

  • Associate’s degree required; Bachelor’s degree preferred.
  • Previous experience in patient registration, scheduling, or prior authorizations in a healthcare setting required.
  • Leadership or supervisory experience preferred.
  • Strong communication, organizational, and problem-solving skills.
  • Ability to foster a positive, collaborative team environment.
  • Proficiency with electronic medical record (EMR) systems and scheduling software.
  • Knowledge of insurance verification and prior authorization processes preferred.
