About The Position

The Clinic Office Manager is responsible for overseeing the daily operations of the clinic to ensure efficient, compliant, and high-quality patient care. This role manages administrative functions, staff coordination, scheduling, patient flow, and office systems. The Office Manager serves as a key liaison between providers, staff, and patients, ensuring smooth clinic operations, adherence to healthcare regulations, and a positive patient experience.

Requirements

  • Minimum 5 years of supervisory or management experience in a healthcare setting, with a proven ability to lead teams, manage multiple functions, and build strong, positive relationships.
  • 5+ years of experience working with electronic medical records (EMR) systems.
  • 5+ years of direct patient or customer-facing healthcare service experience, with a demonstrated commitment to delivering high-quality patient care.
  • Experience collaborating with and supporting physicians and providers in a fast-paced, high-expectation environment.
  • Background in process improvement; Lean Six Sigma or related training preferred.
  • Strong written, verbal, and interpersonal communication skills.
  • Proficiency in Microsoft Office Suite.
  • Bachelor’s degree in Healthcare Administration or related field; equivalent experience may be considered.

Responsibilities

  • Manage and support clinic staff in daily operations, providing guidance and resolving operational issues.
  • Oversee administrative functions including bookkeeping, managed care operations, deposits, billing, and receptionist coverage.
  • Direct and monitor retail sales and inventory management.
  • Ensure compliance with all healthcare regulations, patient care standards, and confidentiality requirements.
  • Supervise fee collection, account reconciliation, and reporting requirements in a timely and accurate manner.
  • Lead all aspects of employee management including recruiting, onboarding, training, scheduling, performance management, and compliance with HR policies.
  • Conduct regular staff meetings, communicate policy changes, and foster a positive, team-oriented work environment.
  • Manage employee performance through coaching, feedback, and performance evaluations.
  • Coordinate provider and staff meetings to improve service quality, operational efficiency, and patient safety.
  • Prepare, recommend, and monitor the clinic budget, goals, and objectives in collaboration with staff and leadership.
  • Serve as liaison with external partners such as accountants, bookkeepers, and benefits providers.
  • Demonstrate strong skills in communication, adaptability, teamwork, multi-tasking, and independent problem-solving.
  • Preparing agendas, documenting minutes, and maintaining attendance records for staff meetings.
  • Conducting monthly meetings with providers to review clinic reports and gather feedback.
  • Producing and analyzing financial reports, including budget variances, balance sheet, income statement, accounts receivable, and physician productivity.
  • Providing project updates, including scope, budget status, and critical timelines.
  • Tracking and reporting on staff training, education, and development activities.
  • Communicating updates to policies and procedures as required.
  • Performing additional reporting responsibilities as assigned.
