About The Position

The Clinic Manager oversees the daily operations of an assigned clinical site, ensuring efficient, compliant, and patient-centered service delivery. This role provides leadership and oversight for all non-provider staff working within the clinic, excluding clinical decision making, with direct management responsibility for administrative support teams (e.g. registration, maintenance, etc.) and indirect coordination with the Patient Access Supervisors. Working under the direction of the Associate Director of Clinic Administration, the Clinic Manager ensures operational excellence, regulatory compliance, and staff engagement. The role serves as a key link between clinical, administrative, and leadership teams; supporting organizational priorities, promoting quality improvement, and maintaining a safe and positive environment for patients and staff.

Requirements

  • Bachelor’s degree in Healthcare Administration, Business, Nursing, or related field or a
  • Minimum 3–5 years of progressive experience in a clinical or healthcare operations management role; experience in a community health center or primary care environment strongly preferred.
  • Strong understanding of outpatient clinical workflows and compliance standards
  • Demonstrated leadership and staff development skills
  • Excellent communication and organizational abilities
  • Proficiency with EHR systems and Microsoft Office Suite
  • Strong analytical, problem-solving, and decision-making skills
  • Must be able to pass a pre-employment drug test, physical, and a background check to include a 7-year criminal, 10-year SSN & employer history reference check.
  • Must be able to provide proof of COVID-19 vaccination on the first day of work.

  • Attention to detail.
  • Must take yearly flu shot or wear flu mask during flu season for patient-facing positions and test for tuberculosis as required by the Centers for Disease Control and Prevention.

Responsibilities

  • Promotes effective, compassionate communication with patients and ensures that all staff deliver exceptional service, fostering a welcoming and professional clinic environment.
  • Provides daily onsite leadership and supervision of clinic administrative support staff.
  • Oversee clinic schedules, staffing assignments, and timekeeping to ensure appropriate coverage and efficient patient flow.
  • Collaborates closely with the Patient Access Supervisors, Nurse Manager, and Chief Medical Officer to ensure alignment between administrative and clinical operations.
  • Conducts daily staff huddles and weekly team meetings to reinforce communication, operational consistency, and performance expectations.
  • Supports onboarding, training, and continuous development of clinical staff. Identifies performance issues and implements corrective actions in collaboration with the Associate Director.
  • Promotes a positive, team-oriented work environment grounded in professionalism, accountability, and respect.
  • Manages day-to-day operations of the assigned clinic site, ensuring efficiency, patient safety, and quality service delivery.
  • In collaboration with clinical leadership, oversees adherence to established clinic workflows, including patient intake, rooming, documentation support, and post-visit procedures.
  • Coordinates with nursing, provider, and patient access teams to ensure smooth transitions between administrative and clinical processes.
  • Monitors clinic productivity, patient flow, and provider utilization, recommending adjustments to enhance efficiency.
  • Ensures facility readiness each day, including cleanliness, equipment functionality, and availability of necessary supplies.
  • Participating in QI initiatives, including clinical performance measures, patient satisfaction, and workflow efficiency.
  • Gathering and analyzing site-level data (e.g., no-show rates, cycle times, patient wait times, provider productivity).
  • Supporting the implementation of corrective action plans from quality reviews.
  • Ensures site level compliance with all applicable federal, state, and local regulations (including HRSA, HIPAA, OSHA, CLIA, infection control requirements etc.), and payer requirements.
  • Partners with compliance and quality team to support audits, site inspections, and corrective action plans.
  • Monitors adherence to clinical protocols, safety standards, annual compliance trainings, and emergency preparedness procedures.
  • Management of required logs and documentation (e.g., temperature logs, equipment calibration, safety checklists, cleaning logs).
  • Oversees site-level supply ordering and inventory management in coordination with Finance.
  • Ensures appropriate use and documentation of medical supplies, vaccines, and medications, following inventory control and storage requirements.
  • Supports accurate charge capture, documentation, and billing workflows in coordination with administrative and billing departments.
  • Serves as the primary onsite operational contact for providers and staff, escalating issues to the Associate Director as appropriate.
  • Collaborates closely with other Clinic Managers, the Patient Access Supervisors, Nursing Manager and leadership to ensure consistent operations across sites.
  • Communicates organizational updates, goals, and policy changes to staff and ensures implementation at the site level.
  • Facilitates resolution of operational concerns, patient complaints, or interdepartmental conflicts in a timely, professional manner.
  • Oversees clinic safety, maintenance, and facility-related needs in coordination with Facilities and IT teams.
  • Ensures staff adherence to emergency response procedures and maintains site readiness for drills and inspections (fire, earthquake, active shooter, etc.).
  • Maintaining emergency supplies and documentation.
  • Managing incident reporting and follow-up investigations at the site level.
  • Participates in leadership meetings, trainings, and committees as assigned.
  • Supports special projects, program expansions, or workflow redesigns as directed by leadership.
  • Performs other duties as assigned by the Associate Director of Clinic Administration or Director of Operations.
