Requirements

Responsibilities

  • Oversee appointment scheduling, registration, and check-in/check-out processes to ensure a positive patient experience.
  • Ensure appointments have been verified as well as the patients are eligible and authorized.
  • Evaluate daily no-show rates, determine cause, and discuss with upper management to create a resolution promptly.
  • Confirm each patient encounter is checked in and out, the correct payer is billed, coded, and payments are collected and reflected in accounts.
  • Ensure providers see the agreed-upon number of patients and a smooth and efficient flow.
  • Ensure the smooth operation of all office operations, including maintaining supplies, managing the budget, and ensuring compliance with relevant State, Federal, County, and local ordinances, and regulations.
  • Ensure phones are always in the “available” status and answered promptly.
  • Ensure the clinic maintains a rating above 4.8 in Rater8.
  • Address patient inquiries, concerns, and complaints promptly and professionally.
  • Verify the clinic's records are accurate, including computer systems, electronic medical records, and medical equipment.
  • Review clinic schedules and manage workforce needs to ensure optimal clinic operations.
  • Supervise and support clinic staff, including PSRs, Technicians, and Opticians, while ensuring compliance with policies and procedures.
  • Address any employee issues or concerns that may arise, and notify Human Resources.
  • Recruit and interview potential candidates and present final candidates to the Regional Manager for final approval.
  • Ensure the clinic complies with all relevant healthcare regulations, including HIPAA, OSHA, and state licensing requirements.
  • Implement and monitor quality assurance protocols to maintain high standards of patient care.
  • Conduct regular audits of clinic processes and procedures to identify areas for improvement.
  • Manage office supplies and equipment, ensuring adequate inventory and functionality.
  • Assist in monitoring clinic expenses to maintain financial health.
  • Manage billing and coding processes to ensure accurate insurance claims and patient invoicing.
  • Collaborate with the accounting department to maintain financial records and reports.
  • Conduct performance evaluations, training, and ongoing professional development for team members.
