About The Position

The Surgical Clinic (TSC) is a group of private practice surgeons representing many specialties of surgical practice to develop patient-focused, conveniently located places to give patients access to needed surgical procedures close to home. Since its founding in 1997, The Surgical Clinic has continued to attract talented surgeons, becoming one of Middle Tennessee’s most respected practices. TSC specializes in bariatric surgery, breast surgery, general surgery, plastic surgery, podiatry, surgical oncology surgery, vascular & endovascular surgery, and veins. In addition, TSC has established several Vascular Procedure Centers, TSC prosthetics, and accredited ultrasound labs. POSITION SUMMARY The Clinic Manager is responsible for the daily operations and financial accountability of the clinic, staff management and efficient patient flow and meeting all state and federal mandated standards. This role manages a variety of general office activities by direction of subordinates and/or performing the tasks. The Medical Office Manager also monitors and measures patient flow, patient satisfaction, and workflow in the clinical areas and monitors provider needs, and adherence to government regulations all to assure efficient and productive and high-quality care and results.

Requirements

  • High School diploma or equivalent
  • Knowledge of EHR, MSWord, MS Excel, payroll software and Internet software
  • To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
  • Must be able to sit or stand for prolonged periods.

Nice To Haves

  • A college degree is preferred
  • Bachelor's degree in healthcare administration or equivalent relevant experience.
  • Licensed Medical Assistant (MA) or Registered Nurse (RN) preferred.
  • Basic CPR/First AID Certification preferred.

Responsibilities

  • Oversees and coordinates daily operations including surgical/procedure scheduling, front office activities, referrals, and scheduling departments.
  • Manages point-of-service functions related to revenue cycle processes.
  • Serves as the primary liaison between patients, providers, and referring offices to maintain strong working relationships and a high level of patient care.
  • Ensures compliance with OSHA regulations and other applicable federal, state, and local standards.
  • Supports and implements The Surgical Clinic’s (TSC) strategic goals and initiatives.
  • Evaluates, improves, and implements workflow processes to optimize clinic efficiency and effectiveness, including ongoing EHR enhancements.
  • Manages clinic personnel, including maintaining HR records and approving timecards for all site-based employees.
  • Ensures appropriate staffing across all functional areas of the clinic
  • Enforces TSC policies and procedures, holding staff accountable for compliance and performance standards.
  • Manages supply inventory, ordering, and restocking in coordination with the purchasing office
  • Trains, supervises, and provides performance feedback to staff.
  • Consults with upper management and/ or surgeons before initiating formal counseling.
  • Maintains working knowledge of all clinic tasks to provide backup and cross-coverage as needed.
  • Oversees on-site IT coordination and support, escalating issues as necessary
  • Delegates responsibilities appropriately to team members to support smooth clinic operations.
  • Collaborates with the Central Billing Office (CBO) on revenue cycle issues and works jointly to resolve billing and reimbursement concerns.
  • Performs other duties as assigned.
