About The Position

The Clinic Appointment Scheduler serves as the first point of contact for patients at Pediatric Surgical Associates, responsible for efficiently scheduling appointments for urology and general surgery. This role involves managing patient communications primarily through phone calls, ensuring a welcoming experience, and coordinating various aspects of patient care and scheduling.

Requirements

  • High school diploma/GED required.
  • Minimum of one year scheduling experience at a medical clinic or other care facility.
  • Medical terminology knowledge preferred.
  • Proficient with technology and various computer programs.

Responsibilities

  • Answering calls and speaking in a friendly, welcoming, and timely manner.
  • Scheduling clinic appointments (including telehealth appointments).
  • Registration and account creation of new patients.
  • Collecting and verifying demographic information and insurance plan information.
  • Informing patients of appointment preparation instructions, arrival time, date, and location.
  • Coordinating radiology and imaging with appointments and documenting laboratory and radiology testing information in patient's chart.
  • Faxing pertinent orders to radiology or sending to Medical Assistant to enter/fax order.
  • Serving as point of contact for referring providers, hospitals, nurses, and physicians regarding schedules.
  • Managing referral inbox and appointment scheduling inbox by calling families in a timely manner.
  • Retrieving appointment scheduling messages and returning them in a timely fashion.
  • Managing recall system by scheduling follow-ups and post-ops for assigned providers.
  • Assisting families, providers, and perinatal clinics in obtaining imaging and records.
  • Ordering interpreters for office appointments when conferencing in patients with interpreters during scheduling follow-ups/post-ops.
  • Triaging patient phone calls and directing messages to the appropriate provider or nurses.
  • Occasionally scanning in referrals and outside records received via electronic fax inbox.
