General Summary: The Clinic Coordinator, under general supervision, provides advanced administrative coordination and operational support for WTAMU’s Behavioral Health and Speech & Hearing Clinics in alignment with the goals of the Behavioral Health Workforce Initiative (BHWI). This position coordinates administrative and clinical support functions for interdisciplinary training clinics, ensuring efficient operations, effective collaboration across disciplines, and consistent support for students, faculty, and community partners. The Clinic Coordinator is responsible for maintaining highly organized administrative systems, coordinating clinic activities and schedules, and supporting collaborative office functions across participating departments. The position reports to designated clinic and department leadership for direction and assigned duties. Some evening and weekend work outside of normal business hours may be required.

Requirements

  • High school diploma or equivalent combination of education and experience.
  • Five (5) years of related experience.
  • Ability to multitask, track workflows, meet deadlines, and work cooperatively with others for departmental and clinical operations and responsibilities.
  • Excellent written communication, analytical, interpersonal, and organizational skills.
  • Ability to work in a high stress environment.
  • Ability to work with sensitive information and maintain confidentiality.
  • Knowledge of word processing, spreadsheet and database applications.
  • Ability to work independently once given a project.
  • Ability to communicate with faculty, students, and patients in a friendly, professional manner.
  • Ability to occasionally work beyond normal office hours and/or work on weekends.

Nice To Haves

  • Bachelor’s degree
  • Seven (7) years of related experience.
  • Use of common social media platforms.
  • Ability to navigate/operate electronic medical record (EMR) systems.
  • Experience with insurance and payers for reimbursement preferred.
  • Experience and understanding of therapy and/or behavioral health preferred but not essential.

Responsibilities

  • Coordinates daily clinic support activities and administrative interactions including appointments, scheduling, and processing patients.
  • Coordinates administrative services including ordering clinic supplies, greeting patients, collecting fees and ensuring receipt of monies, answering telephones, and confirming appointments.
  • Assists in the coordination of daily workflow and the resolution of complex, highly sensitive and confidential matters.
  • Provide organizational planning and problem-solving skills.
  • Researches and analyzes administrative requirements for specific programs or projects.
  • Provides technical information regarding administrative procedures, services, or programs.
  • Makes recommendations for process improvements, administrative changes, or new initiatives.
  • Develops procedures for complex or specialized functions.
  • Responds to inquiries and interprets rules, regulations, policies and procedures.
  • May monitor compliance with policies and procedures.
  • Maintains a variety of fiscal, administrative, and academic records.
  • Verifies, processes, and reviews forms, reports, tables, and other documents.
  • Performs special analyses and project summaries.
  • Coordinates meetings, seminars, and other special events.
  • May coordinate travel arrangements and prepare itineraries.
  • May deliver, pick up, or receive cash payments, documents, supplies or materials.
  • Coordinates the maintenance of files, records, office supplies, or equipment.
  • Maintains office reference materials including online office materials.
  • May hire, train, and supervise student workers and support staff.
  • Maintains 100% compliance with timely completion of required System, University and job-specific online training courses.
  • Other duties as assigned.
