SUPPORT PATIENT ASSIGNMENTS: Assist with the assignment of patients for student DMD program and provide cross-coverage of this task when the Screening Coordinator is on leave. Use databases to determine needs of students for requesting patients to meet requirements for graduation. Check and correct all patient clinical evaluation forms from the completed screening appointments to ensure accuracy with use of correct dental treatment codes and financial information. Assess assigned patient groups with patient advocate to ensure patients are needed. Provide reports for number of patients assigned monthly. Participate in the annual patient assignment refresh process which assures continuity of care standards are maintained for the predoctoral associate groups. This process involves three steps, 1-assign the rising senior dental student as the primary provider, 2-transfer all planned treatment to the new primary provider, and 3-assign rising junior student as an associate provider. If graduating senior provider has remaining responsibilities for the assigned patient, they will remain as the primary provider until the responsibility is satisfied. CLINIC SCHEDULING. Conduct the initial phone conversation with prospective patients. Schedule screening appointments and review prior dental records if appropriate, arrange for any special need when applicable (interpreters, accessibility needs as applies), coordinate scheduling with radiology when applicable. Gather and/or verify patient information including demographics, insurance coverage and financial status; obtain authorization for clinical care. Enter information into the patient management database (axiUm). Confirm patient appointments assuring the patient chair is filled throughout the clinic session, providing patients with timely and appropriate care, and the students with clinical experiences. Collaborate with predoctoral students when scheduling and orienting self-recruited patients to the screening clinic. Support the scheduling of patients for the patients with “Special Care Needs” such as patients who experience Intellectual Developmental Disabilities, or Acquired Disabilities. ADMINISTRATIVE AUDIT SUPPORT: Each semester this position provides support for the administrative audit process involving specified reports in the dental student’s personal planner. This audit is to occur no later than a week prior to the student’s scheduled chart review with the Team Leader and Treatment Coordinator. The purpose of the audit is to identify unresolved issues with unapproved items, past appointments which remain ACTIVE, overdue patients, assigned forms requiring actions, missing treatment codes, unsaved images and lack of training compliance. Additionally, each year this position will participate in Step 2 of a seven-step senior check out process assuring the graduating senior has completed all items they are responsible to complete prior to being cleared to check-out. Graduating seniors must not have any “primary” assigned patients in the associate group when being cleared for graduation. This is an indicator that the senior has persistent responsibilities which must be resolved prior to check-out. PATIENT SERVICES: Spend a minimum of three hours a month providing cross coverage support to Patient Services (aka Chart Room) with patient intake processes, and additional duties as applies. This support can be as cross-training, or as fill in support during staffing shortages that occur for a variety of reasons including events such as unit and department level meetings as needed.
