The Front Desk Specialist handles a variety of tasks, including client interactions, front desk management, administrative duties, and facility upkeep. With a strong focus on customer service, this role supports the mission of Dakota Woodlands by fostering a safe, organized, and respectful environment for all.

Requirements

  • High school diploma or equivalent; coursework in social work, human services, or related fields is a plus.
  • Experience in customer service, front desk operations, or similar roles (preferably in a nonprofit or social service setting).
  • Strong interpersonal and communication skills, with an ability to work effectively with diverse populations.
  • Empathetic and patient demeanor, maintaining discretion in sensitive situations.
  • Reliable and organized with attention to detail.
  • Proficiency in basic computer applications, including Microsoft Office and data entry systems.

Responsibilities

  • Serve as the first point of contact for clients, visitors, and staff.
  • Greet clients and visitors warmly, fostering a professional and compassionate environment.
  • Answer phone calls, respond to inquiries, and route communications appropriately.
  • Monitor and manage client entry and exit to ensure adherence to facility policies.
  • Assist clients with routine needs, including information about services and resource access.
  • Provide respectful guidance to clients navigating the facility.
  • Address and report client concerns to appropriate team members.
  • Support the upkeep of a clean, organized, and safe environment for all.
  • Perform routine tasks like tidying common areas and restocking supplies.
  • Report maintenance needs to designated personnel.
  • Maintain accurate client interaction records and other required documentation.
  • Assist with administrative functions, such as filing, data entry, and supply management.
  • Contribute to organizational projects and initiatives as needed.
  • Coordinate with staff to deliver efficient client support services.
  • Participate in team meetings, training, and professional development opportunities.
  • Promote a positive and inclusive work environment.
