The Client Services Support Specialist provides hands-on support to Affordable Housing Advisory Services (AHAS) client engagements, with primary responsibilities focused on preparation, coordination, and delivery of engagement work products. The role is designed to be client-facing and billable, partnering closely with Partners, Managers, clients, lenders, and attorneys to keep projects and monthly construction draws moving efficiently. The specialist is detail-oriented, proactive, and able to manage multiple engagements in a fast-paced environment. Requirements

  • 2+ years in a client services, administrative, or legal support role within professional services, accounting, construction, or affordable housing.

  • Technology: Proficiency with Microsoft Office (Outlook, Word, Excel), SmartSheet, and document management systems (CaseWare preferred).
  • Organization: Strong attention to detail, ability to track multiple deadlines, and maintain complete engagement records.

  • Problem Solving: Ability to anticipate engagement needs, identify process gaps, and proactively resolve issues.
  • Teamwork: Comfortable working independently and collaboratively across engagement teams.

Responsibilities

  • Prepare monthly construction draw packages, including assembling required documentation, replacing signature pages, and confirming accuracy prior to submission.
  • Maintain SmartSheet trackers for draw status, receipt of required information, and submission dates.
  • Retrieve and organize monthly bank statements, invoices, and supporting documentation for draw preparation.
  • Save draw-related documentation to the appropriate CaseWare binders and ensure orderly, searchable filing.
  • Collect and coordinate due diligence items for project closings; manage follow-ups with clients, lenders, and attorneys to meet closing timelines.
  • Add received documentation to CaseWare binders and maintain version control and completeness.
  • Assist with closing checklists and deliverables to align with lender and agency requirements.
  • Track monthly Adjusting Journal Entries (AJEs) related to development activity, including receipt and submission dates.
  • Coordinate with internal accounting teams to ensure AJEs are processed, documented, and reflected in engagement files.
  • Support preparation of lender or investor reporting packages as requested within the scope of the engagement.
  • Manage client-facing communications related to draw cycles, closing timelines, and engagement deliverables, ensuring timely responses and proactive updates.
  • Monitor shared AHAS mailboxes for engagement activity; route requests, save artifacts to CaseWare, and track resolution to maintain operational transparency.
  • Assist Partner with email due to large volume of requests, communications and correspondence.
  • Partner with engagement leaders to set expectations, request documents, and coordinate meetings to keep work progressing.
  • Draft engagement letters and coordinate approvals consistent with Firm standards.
  • Review WIP reports to recommend appropriate progress billing; attach invoices to draw packages as needed.
  • Follow up on outstanding receivables and maintain concise collection notes aligned to engagement activity.
