We are seeking a professional and detail-oriented Client Services Specialist to join our Family Office division. In this role, you will support ultra-high-net-worth (UHNW) client relationships by delivering accurate, timely, and high-touch operational service in partnership with advisors and senior team members. The Client Services Specialist, Family Office plays a critical role in supporting complex client structures, alternative investments, reporting, and billing processes. The ideal candidate demonstrates strong attention to detail, professionalism in client communications, and the ability to support multiple priorities in a fast-paced environment. Requirements

  • Minimum 3 years of experience in a similar role at a financial services firm
  • Experience with Alternative investments, SMAs, and Addepar
  • Experience supporting UHNW clients
  • Experience with Charles Schwab (Custodian) and utilizing CRM
  • Strong Microsoft Office skills (Word, Excel, and PowerPoint)
  • Strong knowledge of Investment Advisory practices, processes, and an understanding of wealth management
  • Skilled in time management and willingly sharing Team responsibilities; sharing workflow and projects as appropriate
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment

  • Bachelor’s degree in Finance, Business, or related degree from an accredited college or university

Responsibilities

  • Support client service and operational needs for UHNW Family Office households in partnership with advisors and senior Client Services team members.
  • Execute Schwab brokerage account service and maintenance, including complex account registrations.
  • Coordinate new client onboarding, including custodial paperwork, account setup, ADV delivery, and welcome procedures.
  • Assist with alternative investment administration, including capital call processing, distribution tracking, document coordination, and portal monitoring (e.g.,iCapital, CAIS)
  • Support security setup and data maintenance in Tamarac, Addepar, and CRM systems
  • Prepare and validate data for performance reporting and client deliverables prior to senior review.
  • Assist with quarterly billing data gathering and reconciliation processes
  • Coordinate client requests related to cash movements, tax payments, foundation activity, and third-party invoices under direction of advisors.
  • Maintain client and account records in portfolio management, CRM, and document management systems.
  • Track workflow tasks and ensure timely completion of recurring and ad hoc service actions.
  • Collaborate cross-functionally with trading, compliance, tax, and administrative teams to support accurate and efficient service delivery.
  • Provide responsive, professional communication to clients and internal partners.

  • A reasonable estimate of the current range for the non-exempt full-time position is $36.05-$43.26 per hour ( approx. $75,000-$90,000 annual salary).
