About The Position

We are looking for a dependable, proactive, and detail-oriented Client Services Representative Dispatcher to join our Imaging Client Support team. In this role, you will serve as a key resource between our internal teams and clients—ensuring smooth operations, timely communication, and exceptional customer support. You will contribute to the success of our healthcare and diagnostics services by providing administrative support and maintaining professional relationships with clients and partners.

Requirements

  • Prior customer service experience is a plus but not required.
  • Effective verbal and written communication skills.
  • Ability to manage tasks independently and with minimal supervision.
  • Proficiency with Microsoft Office (Outlook, Excel, Word); ability to adapt to new systems quickly.
  • Comfortable working in a fast-paced, detail-driven environment.
  • Physical ability to sit for extended periods and lift/move heavy items when necessary.
  • Strong attention to detail and organizational skills.
  • Ability to multitask and remain focused in a dynamic environment.
  • Physically capable of lifting and moving supplies as needed.
  • Capacity to maintain professionalism when interacting with various teams and clients.

Responsibilities

  • Respond to customer inquiries via phone and email in a courteous and knowledgeable manner.
  • Take ownership of each inquiry, utilizing available resources to resolve issues quickly and thoroughly.
  • Maintain a thorough understanding of internal systems and processes related to the capturing of the images.
  • Maintain and print documents for new customer In-Service binders.
  • Collaborate with internal departments—including Radiology and Diagnostics—to support cross-functional initiatives.
  • Assist with daily administrative reporting and internal projects as needed.
  • Ensure all orders are properly dispatched, completed, and processed in accordance with policies and procedures.
  • Review, organize, and distribute orders based on coverage areas, effectively utilizing on-duty imaging technologists
  • Track and follow up on all assignments dispatched during the shift.
  • Collaborate with Imaging Management, Imaging Technologists ,and other services to ensure order completion.
  • Document issues that occur throughout the shift and escalate as necessary.
  • Investigate and troubleshoot unexpected problems, providing immediate resolution when possible.
  • Communicate customer concerns or potential issues to the sales team and imaging managers with recommendations for resolution.
  • Serve as a friendly, helpful, and knowledgeable representative of PHS imaging services.
  • Perform other dispatcher duties as assigned by the manager.
