The Mailroom Associate provides exceptional mail and shipping/receiving services, delivering operational functions in the following areas: processing of inbound/outbound mail, distributing/delivering mail, shipping and receiving products and supplies to support the onsite business service center in a timely manner. Overall, this position continuously offers the highest level of service to all client and SPS employees while maintaining a professional image of the company by providing prompt, courteous, and efficient service.

  • Operate digital print, copy, and scan equipment to produce high-quality legal documents.
  • Perform document finishing tasks such as binding, tabbing, collating, and labeling.
  • Ensure accuracy, version control, and proper formatting on all deliverables.
  • Monitor production queues and manage job priorities based on deadlines.
  • Provide responsive, professional service to attorneys, paralegals, and staff.
  • Communicate job status and proactively manage expectations for delivery timelines.
  • Handle sensitive and confidential documents with discretion and professionalism.
  • Process inbound and outbound mail, packages, and interoffice deliveries.
  • Coordinate with couriers and external vendors to ensure secure and timely handling.
  • Maintain logs and tracking systems for production and delivery requests.
  • Assist with day-to-day operational needs such as office supply replenishment and print area upkeep.
  • Coordinate with building management or vendors as needed for maintenance or equipment issues.
  • Support workstation and office setups when required.
  • Adhere to firm standards for document security, confidentiality, and compliance.
  • Conduct regular equipment checks and report maintenance needs promptly.
  • Follow established procedures and contribute to continuous improvement initiatives.
  • 2+ years of experience in print/production, reprographics, or legal document services (law firm experience preferred).
  • Strong attention to detail and quality control.
  • Excellent communication and client service skills.
  • Ability to manage multiple priorities and meet strict deadlines.
  • Proficiency with digital print systems and production software.
  • Professional demeanor and discretion in handling confidential materials.
  • Ability to lift up to 30 lbs and stand for extended periods as needed.
