The Client Service Associate at Empirical Wealth Management plays a crucial role in supporting the Los Angeles office by managing a variety of administrative, client service, and operational tasks. Requirements

  • 1+ years of experience in client service role, ideally in a professional office or financial services setting.
  • Bachelor's degree.
  • Intermediate proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional client service skills with the ability to build trust and strong relationships with clients and colleagues.
  • Strong organizational skills with the ability to manage multiple tasks and adapt to frequent changes or unexpected events.
  • Excellent verbal and written communication skills, with proven ability to function effectively under occasional pressure and time-sensitive deadlines.
  • Detail-oriented with strong analytical and critical thinking skills.

Responsibilities

  • Provide superior client service by handling all incoming client requests and ensuring follow-through to meet client needs.
  • Monitor client account activity, research and resolve any issues, and communicate solutions to clients promptly.
  • Prepare and review new account paperwork to ensure all documents are complete and comply with regulatory requirements.
  • Serve as the main point of contact for operational tasks, including tracking rollovers and managing investment funding in coordination with the Associate and Financial Advisors.
  • Document key client milestones and data in systems such as Salesforce and the Charles Schwab platform to support future interactions and enhance client relationships.
  • Maintain risk awareness and compliance by identifying and resolving issues according to company procedures and regulatory guidelines.
  • Support firm-wide initiatives and assist with company projects as needed.
  • Greet and assist clients and visitors, ensuring a warm, professional, and welcoming environment.
  • Answer phones, manage mail distribution, and handle outgoing mail and shipping requests.
  • Maintain office and kitchen supplies inventory, ordering items as necessary.
  • Ensure conference rooms are clean, prepped, and ready for client meetings.
  • Oversee the office condition, submitting repair, maintenance, and design requests as needed, and liaising with building management to relay essential information to the team.
  • Assist in maintaining office files and records in compliance with the firm's regulations, including scanning and organizing documents.
  • Prepare materials for advisors and team members as required.
