The Client Service Specialist will serve as a partner with the sales team and serve as the primary contact for all external customer support. The CSS is responsible for contract entry, management, and order fulfillment; timely entry for invoicing and payment processing. Responds to customer inquiries to resolve problems and communicate solutions or requested information to the customer. Analyzes a customer’s order needs and coordinates with internal departments to execute fulfillment. Develops and maintains a deep understanding of the organization, services, and processes, to resolve more complex inquiries. Responsibilities include but are not limited to: Deliver an excellent customer experience by fostering positive relationships and strong follow-up with customers Work directly with customers to ensure a smooth process in receiving product Work with internal stakeholders and external customers to problem solve logistics, quality concerns, and scheduling Provide support to the sales team including contract entry, reports, management, and execution Continuous communication with operations, logistics and sales team to update and coordinate order schedule Input and/or review of contract and shipment details into CTRM system and maintain the accuracy of those contracts throughout execution Work with customers to fulfill contracts, ensure appropriate application and entry of shipments into system Identify and collaboratively resolve any problems and discrepancies (logistics, quality, scheduling, invoicing, etc.) with counterparties in an efficient and timely manner, as necessary Serve as liaison between internal departments (i.e. credit, payables, etc.), customer and sales team to efficiently resolve inquiries Work with credit manager, sales team, and customer on overdue balances and/or disputes Ensure timely and accurate set up of third-party charges including freight, brokerage, etc. Interact with the plant production schedules on a continuous basis, helping to ensure the reliability and accuracy of information Work closely with accounting to ensure shipments and fees are invoiced appropriately and timely Assist in month-end inquiries, closing of completed contracts, inventory reconciliations, position reconciliation, and other duties Effectively learn and utilize internal software programs – including CTRM and CRM systems Handle time-sensitive responsibilities that may occur outside of regular business hours, as necessary
