About The Position

As the face of VCA Valley, the Client Service Representative sets the tone for the practice as we build and maintain each customer's trust and confidence in our abilities. The CSR is the pivot around which the hospital operates and is responsible for: Greet and check in clients with warmth and professionalism, ensuring a positive first impression. Manage a high volume of incoming phone calls and emails, addressing client questions, concerns, and appointment requests efficiently. Schedule and confirm appointments, and handle patient records with accuracy and confidentiality. Process payments, including insurance claims and financial transactions, and provide clients with clear explanations of costs and billing procedures. Coordinate with veterinary staff to ensure smooth communication between clients and medical teams. Handle and resolve client concerns or complaints with tact and empathy, maintaining a high level of service. Maintain a clean and organized reception area, ensuring a welcoming environment for clients and their pets. Assist with administrative tasks such as data entry, filing, and inventory management as needed.

Requirements

  • Previous experience in a client service role, preferably in a veterinary or medical setting.
  • Exceptional communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Ability to remain calm and composed in a fast-paced environment.
  • Proficiency with office software and electronic medical records systems.
  • A compassionate attitude towards animals and their owners.
  • Flexibility to work various shifts, including evenings, weekends, and holidays.
