About The Position

Oak Glen Animal Hospital is currently seeking a Client Service Representative to join their team! The Customer Service Representative contributes to the success of a high-performing organization committed to delivering superior care and exceptional service. Performs a range of administrative and customer service tasks, providing valuable support to the hospital.

Requirements

• Minimum of 1 year of previous customer service or receptionist experience required.
• High school diploma or GED required, or equivalent combination of education, certification, training, and/or experience.
• Strong communication skills (in person and over the phone) required.
• Must have basic computer skills (scheduling software, email, Microsoft Office/Google Suite).
• Must be able to handle multiple tasks in a fast-paced environment.
• Compassionate and professional demeanor with clients and pets is a must.
• Must have reliability and strong attention to detail.

Nice To Haves

• Preferably familiar with Avimark and knowledgeable of basic veterinary terminology.
• Comfort with handling pets (cats, dogs, small animals) if needed.
• Bilingual (English/Spanish) is preferred.
• Preferably with experience in billing, payments, and insurance/third-party financing.

Responsibilities

• Provides excellent customer service in-person, over the phone, and during high-stress situations.
• Manages lobby flow, addresses concerns, calms distressed owners, and schedules appointments.
• Handles basic medical emergencies for pets and owners, ensuring safety and well-being.
• Assists with medication pickups, inquiries, and provides information about services and products.
• Inputs and manages data in practice management software, including billing and accounts.
• Assists with retail sales, weighing pets, processing faxes, and maintaining records.
• Reconciles cash drawer and performs end-of-day duties for accurate financial transactions.
