About The Position

Chantilly Animal Hospital is looking for a warm, organized, and client-focused Veterinary Client Service Representative/Receptionist to join our team. In this role, you will be the first point of contact for our clients and play a key role in creating a welcoming, supportive experience for both pets and their families. Our CSRs are much more than receptionists. They are the heart of the client experience and play a vital role in setting the tone for each visit. Requirements

  • Strong customer service and interpersonal skills
  • Excellent communication, both verbal and written

  • Empathy and patience when supporting clients and their pets

Nice To Haves

  • Previous experience working in a veterinary hospital or medical setting is preferred
  • Previous veterinary or healthcare experience is a plus

Responsibilities

  • Greet clients warmly and create a positive, welcoming environment
  • Answer phone calls, address questions, and guide clients through services and next steps
  • Schedule appointments, surgeries, and procedures while optimizing hospital flow
  • Manage patient check-ins, verify and update records, and collect necessary information
  • Process payments accurately and provide clear, detailed invoices
  • Coordinate smooth check-out experiences, including follow-up scheduling and care instructions
  • Maintain accurate medical records and client information in our system
  • Assist with general administrative tasks including scanning, filing, and data entry
  • Support day-to-day hospital operations to keep things running efficiently
  • Provide general guidance on preventive care, medications, and services
  • Help clients feel informed, supported, and confident in their pet’s care
  • Partner closely with veterinarians, technicians, and support staff
  • Help ensure a smooth workflow and a positive team environment
