About The Position

The Office Manager is key in delivering exceptional client experiences and ensuring smooth day-to-day office operations. This individual will be the first point of contact for many clients—both in person and by phone—providing a warm, professional, and solutions-oriented presence. The role combines administrative support, client service coordination, and office management responsibilities, making it ideal for someone who enjoys variety and collaboration.

Requirements

  • 2-5 years of customer support or administrative experience, preferably within the financial industry.
  • Associate’s or Bachelor’s degree preferred.
  • Proven ability to manage conflicting priorities and maintain accuracy under pressure.
  • Comfortable navigating proprietary systems and conducting online research.

Responsibilities

  • Serve as the first point of contact for clients and visitors, creating a positive and welcoming experience.
  • Deliver exceptional service for new and ongoing clients, listening carefully to needs and resolving concerns with professionalism and timeliness.
  • Assist with client operations support, such as onboarding, document collection, file maintenance, and responding to client requests with an emphasis on accuracy.
  • Apply the company’s customer support policies, standards, and procedures during all client interactions.
  • Provide administrative support to office staff, including scheduling meetings, preparing documents, and managing data entry.
  • Coordinate incoming and outgoing mail, deliveries, and office supply inventory.
  • Support special projects and operational initiatives as needed to help achieve business objectives.
