The Client Service Coordinator is the first and last impression of our hospital. This role is essential in delivering an exceptional client experience while ensuring smooth and efficient front-desk operations in a fast-paced specialty and emergency environment. We are seeking a professional, organized, and compassionate individual who thrives under pressure and is committed to supporting both clients and clinical teams.

Requirements

  • High school diploma
  • 1+ years of customer service experience (veterinary experience strongly preferred)
  • 1+ years of hospitality experience creating a welcoming client environment
  • Competent and reliable data entry skills
  • Working knowledge of Microsoft Office (Word, Excel, Outlook)
  • Typing speed of 45+ WPM
  • Proficient use of a 10-key calculator
  • Exceptional customer service and communication skills
  • A genuine love for animals and a welcoming demeanor
  • Strong organizational skills with the ability to multitask effectively
  • Empathy and compassion for concerned pet owners
  • Quick problem-solving skills in unexpected situations
  • Professionalism in appearance, attitude, and communication
  • Strong computer skills and willingness to learn veterinary software
  • Adaptability in a fast-paced, dynamic environment
  • Discretion and commitment to maintaining confidentiality

Responsibilities

  • Welcome and assist clients and their pets with warmth and professionalism
  • Provide reassurance and clear communication during stressful situations
  • Schedule appointments and coordinate procedures
  • Manage and maintain the hospital calendar
  • Answer multi-line phones and respond to emails
  • Provide accurate information about hospital services
  • Maintain accurate and confidential medical records
  • Process check-in/check-out paperwork
  • Calculate fees, process payments, and assist with invoicing
  • Communicate effectively with doctors and clinical staff
  • Support smooth daily hospital operations
  • Remain calm during emergency presentations
  • Direct clients appropriately and support workflow needs
