About The Position

White Pine Wealth Management is a team of 10 professionals servicing $1B+ in assets as of March 2026, based in Falmouth, Maine. The Client Service Associate provides a white glove client experience by working directly with clients and coordinating with the service team and advisors. This role requires strong communication, interpersonal, and time-management skills, and a heart for service. The associate must be ethical, reliable, and able to handle sensitive financial information with absolute confidentiality.

Requirements

  • Experience collecting information, processing forms, and maintaining accurate data
  • Confidence in handling phone calls and speaking to clients
  • Interpersonal and client service skills
  • Strong attention to detail, accuracy, and organization
  • Eagerness to work in a growing practice and fast-paced environment
  • You are a U.S. citizen, U.S. permanent resident or possess other unrestricted U.S. work authorization and will not require sponsorship for U.S. work authorization now or anytime in the future.

Nice To Haves

  • Proficiency with our software preferred: CRM (Salesforce), DocuSign, Microsoft Office suite (Word, Excel, OneNote), and custodial platform (Pershing)
  • 2+ years of industry experience
  • Series 7, 65 license – Insurance license a plus

Responsibilities

  • Onboard new client relationships: work directly with clients and advisors to collect data, process new account paperwork, and maintain client records in our CRM system
  • Perform account maintenance requests: change of beneficiary, address updates, online account access, account re-titles, etc.
  • Process money movements: journals, wire transfers, ACH transfers, and check requests
  • Assist clients in a professional and pleasant manner through phone, email, and in-person interactions
  • Comply with and be well-versed in industry rules and regulations and practice policies
