About The Position

The Client Relationship Assistant plays a pivotal role in delivering a seamless, high-touch experience for both new and existing clients at The Wealth Training Academy, where world-class financial guidance is matched by world-class service. Serving as the essential link between clients, Advisors, and operations, this position requires exceptional communication, strong computer proficiency, outstanding organizational skills, and a proactive, detail-oriented, empathetic approach. Candidates must have a minimum of two years of experience in the securities industry and/or financial services operations, along with a demonstrated commitment to professionalism, precision, and building long-term client trust through every interaction.

Requirements

  • 2 plus years in the securities industry and financial services operations.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Exceptional interpersonal and phone communication skills.
  • Strong organizational and time management skills.
  • Ability to multitask and meet tight deadlines with minimal supervision.
  • A team player with a client-first attitude and professional appearance.

Nice To Haves

  • Licensure: NASD Series 65 (or willingness to obtain)
  • Licensure: Insurance license for Life & Health

Responsibilities

  • Serve as the primary point of contact for client inquiries via phone and in person.
  • Conduct proactive “touch calls” to maintain ongoing client engagement and satisfaction.
  • Deliver concierge-level service for “A” and “A+” clients, including gifts, cards, and random acts of kindness.
  • Facilitate relationships, on boarding for new clients, including processing forms and documentation.
  • Update and maintain client records in the CRM/database for accuracy and compliance.
  • Manage beneficiary changes, account transfers, contributions, and disbursements.
  • Create account review sheets, client meeting summaries, and meeting prep packets.
  • Coordinate and manage Advisors' calendars and meeting schedules.
  • Maintain The Client Relationship Log, reporting updates bi-weekly to Team Leader and Wealth Advisor.
  • Track daily payments and assets moving into the firm.
  • Serve as backup to the Front Desk Coordinator: mail sorting, phone calls, vendor coordination, and office supply management.
  • Maintain a clean, organized, and compliant office workspace and filing system.
  • Assist in seminar planning, follow-up calls, and appointment setting.
  • Help conduct client satisfaction surveys and analyze results for relationship improvements.
