About The Position

The Client Relations Associate II will continue to perform the tasks of the CRA I, and in addition will be responsible for supporting the Sales Operations Analyst in reviewing orders to help in determining if we have sufficient inventory levels to ship.

Requirements

  • Bachelor’s degree required or 2-4 years related job experience minimum
  • Must have strong organizational skills as well as attention to detail
  • Must be able to multi-task effectively
  • Working knowledge of Microsoft Office, strong skill set specifically in Excel
  • Must have strong time management skills
  • Possess a high level of comfort interacting with a variety of people at different levels and in different departments within the organization

Responsibilities

  • Process EDI (electronic) orders submitted by the customer and work with our EDI support to team address any issues preventing orders from being received.
  • Print manual POs sent by customers via email or fax, confirm receipt with the customer and manually enter each line ensuring accuracy with product, quantity and price. For controlled product POs, review the 222 form that is required in order to ship controlled substances, to ensure all required licenses and documentation are accounted for.
  • Review orders to determine what lines can be processed as is, and what lines need to be held for review by order monitoring. Upon review, either run the line, edit the line, or cancel the line by setting it to the appropriate Lost Sales category within SAP. Notify the customer of any changes to their order.
  • Relay requests for invoice by the customer to the Finance team and respond accordingly
  • Address customer packing slip requests by pulling up the slip in SAP, printing, scanning and emailing back to the customer
  • All manual POs, once processed, need to be scanned and filed in the Sales drive, and also the physical document filed in the appropriate file cabinet by date
  • Run the open order report in SAP by customer on a weekly basis, export it to excel, format it according to customer requirements and email every Friday
  • Upon request of new customer or new ship to for an existing customer, create the new account in SAP based on the information provided by the customer as well as confirming valid licensing is received prior to creation.
  • Update customer master records in SAP upon request by either the customer, the account rep or the Finance department
  • Respond to all documentation requests from Audit
  • Add to and update the Client Relations Manual, the manual used for all directions and processes within Client Relations, as needed for training and reference
  • Request updated, valid state and DEA licenses from customers and enter the required information into SAP to allow for efficient order processing.
  • Receive customer supply requests through Client Relations and contact Supply Chain to see if the product can be supplied. All requests are then entered on the Request for Quote Log and the customer is notified of the availability. If Supply Chain approves the request, the CRA II tracks the receipt of the PO and updates the status in the RFQ log.
  • There are ongoing changes in supply conditions for our products. A “watchlist” is maintained in Client Relations as a reference point for orders that should be held for review. The CRA II is responsible for updating the watchlist and maintaining its accuracy on a daily basis.
  • Recommend to manager which orders/quantities to ship each day based on the following criteria below following: o Customer/product level month to date orders vs. customer/product level monthly forecasts o Customer/product level month to date shipments vs customer/product level monthly forecasts o Historical order trends o Customer Inventory levels (ABC, McKesson, Cardinal) o Current Lannett inventory levels with insight into future inventory batch releases o Customer allocation decisions during circumstances of backorder and limited inventory o Failure to supply risk o Review of RFQ log to account for changes in volume expectations
  • As part of the cross-functional responsibilities, the CRA II assists the Pricing team in preparing P&L (Profit & Loss) analyses for pricing decisions.
  • Within Order Management there are specialty orders such as: SHDT (short-dated), PART (partials), FOC (Free of Charge) and OTB (One Time Buys) which the CRA II will enter, with the assistance from the Pricing team to enter the specialty pricing, and send to the warehouse for picking.
  • Review the inventory report sent out by Supply Chain to determine any changes that may need to be made to the watchlist or to order management strategy
  • Participate in weekly Backorder & Shortage meetings with Supply Chain for updates on inventory positions
  • Communicate product updates to the Client Relations team in order to help prepare the weekly Customer Backorder reports
  • Pull and review ABC and Cardinal orders on Thursdays for review and quicker processing
