General Description: The Clients Funds Refund Coordinator is responsible for managing the Firm’s client funds money to comply with various state bar rules and firm policies.

Requirements

  • Strong verbal, mathematical, written, and analytical skills.
  • Strong attention to detail.
  • Research proficiency.
  • Demonstrated ability to organize and prioritize work effectively to ensure objectives are completed on a timely basis.
  • Ability to interpret and identify issues and seek solutions.
  • Knowledge of accounting functions and computer applications.
  • Ability to draw conclusions based on relevant information and experience, particularly related to fraud detection.
  • Minimum 5 years’ relevant accounting and finance experience.

Responsibilities

  • Coordinate refund workflow within Client Funds.
  • Research and verify refund requests, as needed, by collaborating across Firm departments to obtain proper information for processing proper payee, approval and backup.
  • Primarily focused on refunds, with the ability to support deposit, disbursement, and approval functions.
  • Compile necessary documentation, such as attorney approval, payment backup, return instructions and confirmations, and the Refund Form.
  • Coordinate with internal teams to gather missing information or clarify discrepancies in refund requests.
  • Maintain detailed records of refund cases to support audit and reporting.
  • Expected to maintain a regular and predictable work schedule and full attention to and engagement in work activities on behalf of the firm during business hours unless otherwise approved or required by applicable law.
  • Special projects and duties as assigned.
