About The Position

The Client Financial Specialist at Mihlfeld & Associates plays a critical role in ensuring accurate, compliant, and strategically aligned invoices for key clients. This position is responsible for independently interpreting complex client business rules, designing and maintaining invoicing processes, and exercising judgment to resolve exceptions and discrepancies that impact payment processing, financial reporting, and cost accounting. The role partners cross-functionally with Operations, Client Services, and Finance to ensure invoicing practices align with client requirements and internal controls.

Requirements

  • Experience in business operations, finance, accounting, logistics, or a related professional field with analytical and process-driven responsibilities.
  • Demonstrated ability to independently analyze information, resolve complex issues, and exercise judgment on matters of significance.
  • Strong understanding of invoicing structures, financial documentation, and operational reporting.
  • Proficiency in Microsoft Office applications, particularly Excel, with the ability to analyze and interpret data.
  • Excellent written and verbal communication skills, with the ability to explain complex information clearly to internal and external stakeholders.
  • Strong organizational, prioritization, and time-management skills in a fast-paced environment.
  • Proven problem-solving ability with a focus on process improvement and implementation.

Responsibilities

  • Invoice Review, Approval & Exception Management
  • Audit, balance, and approve complex client invoices and related financial reports prior to issuance, exercising discretion and independent judgment.
  • Manage weekly client invoice schedules, ensure invoices are delivered according to contractual timelines, and communicate schedule changes to the Operations team.
  • Analyze invoicing discrepancies, identify root causes, and determine corrective actions to resolve issues and prevent recurrence.
  • Manage special invoicing requests and exceptions by assessing financial and operational impact and determining appropriate resolution strategies.
  • Operational Coordination & Prioritization
  • Direct the Operations team on items requiring processing for standard and special weekly invoices.
  • Communicate client priorities to Operations, clearly identifying urgency and sequencing of work.
  • Provide guidance to internal stakeholders on invoicing workflows, system configuration, and best practices.
  • Client Invoicing Expertise & Process Ownership
  • Serve as the subject matter expert for assigned client invoicing requirements, including interpreting, documenting, and applying customized business rules.
  • Independently evaluate client agreements and invoicing requirements to design, implement, and continuously improve invoicing processes for accuracy, efficiency, and compliance.
  • Maintain ownership of client-specific invoicing rules, ensuring documentation is current and processes are reviewed and updated as needed.
  • Systems, Financial Setup & Compliance
  • Oversee the setup and configuration of new clients and locations in internal systems, ensuring alignment with financial, general ledger (GL), and tax requirements.
  • Review and maintain GL and tax code structures to ensure accurate classification and compliance with accounting standards.
  • Perform higher-level accounts receivable and payable support as needed, including reviewing payment application accuracy and investigating discrepancies between billed and received amounts.
  • Cross-Functional Collaboration & Continuity
  • Collaborate with Operations, Client Services, and Finance to meet invoicing timelines, accuracy standards, and client expectations.
  • Provide continuity support by advising on invoicing corrections, process improvements, and operational best practices
