About The Position

Hogan Lovells is seeking and Engagement Letter Specialist in our Louisville, KY office. This role supports the Office of the General Counsel (OGC) as part of the firm’s Engagement Letter Team, working closely with OGC leadership, firm management, attorneys, and administrative teams. The position focuses on reviewing, analyzing, and managing client engagement terms to ensure accuracy, consistency, compliance with firm policies, and alignment with industry standards. The role also partners with conflicts professionals where engagement terms intersect with conflicts clearance or matter‑opening requirements.

Requirements

  • Bachelor’s degree required; JD preferred or experience in legal risk, compliance, or conflicts.
  • 2–5 years of experience in a law firm OGC, Risk/Compliance, Conflicts, or New Business Intake function preferred.
  • Experience reviewing engagement letters, outside counsel guidelines, or contract‑like documents strongly preferred.

Nice To Haves

  • Familiarity with Intapp Open, 3E, or similar systems preferred.

Responsibilities

  • Reviewing, editing, and revising non‑standard engagement letters, outside counsel guidelines, conflict waivers, and other client-facing documentation.
  • Coordinating approval workflows for non‑standard terms with the General Counsel and relationship partners, including managing updates and revisions.
  • Maintaining deep knowledge of firm‑approved engagement templates and assisting with ongoing template updates and development.
  • Serving as a primary resource for attorneys, assistants, and business services teams with questions about engagement terms, including interpretation, exceptions, and negotiation considerations.
  • Providing guidance on compliance requirements, risk implications, and ethical obligations related to engagement documentation.
  • Collaborating with the Conflicts Department to identify and resolve conflicts issues connected to engagement terms or waivers.
  • Reviewing new business submissions to confirm required engagement documentation has been provided and properly recorded.
  • Conducting research and analysis on conflicts topics related to requested engagement terms.
  • Supporting the development and upkeep of a centralized repository of client engagement terms, including indexing letters, waivers, and OCGs by criteria such as waiver type, special terms, or exceptions.
  • Ensuring accurate and complete engagement data is entered into Intapp Terms or other firm databases.
  • Contributing to process improvements for review workflows, documentation practices, and compliance monitoring.
  • Partnering with OGC leadership on policy updates, training materials, and internal communications.
  • Assisting with special projects, internal audits, risk initiatives, and occasional administrative tasks such as proofreading and data validation.
  • Performing other duties as assigned.
