About The Position

The Client Coordinator plays a crucial role in supporting the sales and operational performance of the clinic by engaging with clients and fostering loyalty. This position involves greeting clients, managing schedules, providing customer service, and ensuring a positive client experience throughout their visit.

Requirements

  • High School Diploma or equivalent
  • 1+ years of sales and/or customer service experience in a retail, restaurant, or related in-person environment
  • Working knowledge of business tools (MS Office Suite, phone systems, Point of Sale systems, CRM)
  • Proven track record of creating excellent customer experiences
  • Ability to multitask and prioritize client experience with operational duties
  • Ability to operate with integrity and confidentiality regarding sensitive health-related information
  • Ability to learn about products and services to assist with client questions
  • Clear and engaging communication skills, both written and oral

Nice To Haves

  • Experience in a medical or aesthetic environment
  • Familiarity with HIPAA regulations
  • Bilingual skills

Responsibilities

  • Greets clients and visitors into the clinic by standing and extending a warm welcome
  • Answers the phone and manages multiple client priorities, including troubleshooting calls and scheduling
  • Provides world-class customer service to establish and maintain relationships with clients
  • Manages treatment book schedules and assists clients with scheduling needs
  • Checks clients in and out, including payment management
  • Provides clinic tours to new clients as needed
  • Actively recommends, promotes, educates, and sells medical aesthetic services and products
  • Verifies client information and medical history in accordance with protocols
  • Chaperones services as needed
  • Ensures clinic email is reviewed and handled accordingly
  • Maintains cleanliness of the clinic and organizes treatment rooms
  • Assists in inventory intake, recordkeeping, and ordering supplies
  • Handles HIPAA protected record keeping, including creation of medical charts and filing
  • Adheres to professional standards, policies, and procedures
  • Maintains professional relationships with clients, leadership, and sales teams
