About The Position

The Client Coordinator plays a crucial role in supporting the sales and operational performance of the clinic by engaging with clients and fostering loyalty. This position involves greeting clients, managing schedules, and ensuring a positive client experience through excellent customer service and operational efficiency.

Requirements

• High School Diploma or equivalent
• 1+ years of sales and/or customer service experience in a retail or related environment
• Working knowledge of business tools (MS Office Suite, phone systems, Point of Sale systems, CRM)
• Proven track record of creating excellent customer experiences
• Ability to multitask and prioritize client experience with operational duties
• Ability to maintain confidentiality with sensitive customer health-related information
• Ability to learn about products and services to assist clients
• Clear and engaging communication skills

Nice To Haves

• Experience in a medical or aesthetic environment
• Familiarity with HIPAA regulations
• Bilingual skills

Responsibilities

• Greets clients and visitors into the clinic with a warm welcome
• Answers the phone and manages multiple client priorities
• Provides world-class customer service to establish and maintain client relationships
• Manages treatment book schedules and assists clients with scheduling needs
• Checks clients in and out, including payment management
• Provides clinic tours to new clients as needed
• Actively recommends, promotes, educates, and sells medical aesthetic services and products
• Verifies client information and medical history in accordance with protocols
• Chaperones services as needed
• Ensures clinic email is reviewed and handled accordingly
• Maintains cleanliness of the clinic and organizes treatment rooms
• Assists in inventory intake, recordkeeping, and ordering supplies
• Handles HIPAA protected record keeping and medical chart management
• Maintains professional relationships with clients and team members
