About The Position

The Client Center Planner is responsible for the full-service planning and execution of meetings in the Client Center. This role interacts daily with VIP clients and executive leadership and is highly client-focused, requiring refined communication, a white-glove service approach, and exceptional organizational and problem-solving skills. Responsibilities

  • Deliver a high-touch, luxury hospitality client experience
  • Serve as the single point of contact for all meeting planning and execution, including catering, audiovisual, setup, facilities, and materials
  • Send daily meeting confirmations through the reservations system
  • Identify and resolve room booking conflicts in collaboration with the reservations team
  • Proactively schedule planning meetings, walkthroughs, and follow-ups with meeting hosts
  • Coordinate audiovisual, food and beverage, room setups, signage, materials, and special requests
  • Obtain proper approvals and billing information for event-related expenses
  • Communicate effectively with internal departments throughout planning and execution
  • Assist with bookings and document all requirements in the reservations system
  • Create and distribute work orders
  • Provide utilization and Client Center reports upon request
  • Support senior planners during high-profile events
  • Produce accurate floor plans, event resumes, and BEOs
  • Participate in planning, pre-conference, and post-conference meetings
  • Troubleshoot guest and team requests
  • Conduct room checks prior to meetings
  • Maintain positive client and vendor relationships
  • Demonstrate knowledge of Client Center SOPs
  • Adapt to rapidly changing priorities
  • Maintain flexible availability including evenings and weekends
