About The Position

The Client Care Coordinator at BrightStar Care of Honolulu serves as a vital link between clients, field staff, and the office team, ensuring a high-quality client experience. This role focuses on improving client satisfaction and retention through proactive communication and coordination of care services. The Coordinator will manage client inquiries, oversee caregiver assignments, and maintain documentation to support the overall care process.

Requirements

  • High School Diploma or equivalent required.
  • 2 years experience in customer service within a healthcare office setting; knowledge of HIPAA and healthcare office regulations preferred.
  • Excellent organization, planning, and project management skills.
  • Flexibility and good time management skills are a must.
  • Valid driver's license and valid state-required proof of auto insurance.

Responsibilities

  • Coordinates and attends living room visits and warm introductions with field staff.
  • Ensures high-quality customer care utilizing 24/7/30 Client touchpoints.
  • Addresses any concerns immediately and reviews Home Care Pulse Surveys daily.
  • Responds to clients to thank them for participating in surveys and addresses any concerns immediately.
  • Requests online reviews from clients who provide positive feedback.
  • Documents client updates, calls, and notes in ABS and communicates them to the office team and field staff.
  • Responds to sales inquiries immediately and keeps ABS inquiry status up to date.
  • Proactively works with prospects and team to convert active prospects to clients.
  • Works with scheduling and clinical staff to determine appropriate caregivers for clients.
  • Coordinates with the scheduling team to ensure all shifts are filled and manages client expectations as necessary.
  • Provides in-person and over-the-phone orientation to clients/family and field staff.
  • Places client supply orders and delivers supplies as needed.
  • Executes client care coordination tasks that do not require clinical expertise.
  • Assists clients with WC or LTC policy review, claim initiation, and assignment of benefits as needed.
  • Anticipates potential client dissatisfaction and takes proactive steps to resolve issues early.
  • Assists with performance reviews by gathering client feedback and providing input on field staff.
  • Assists with developing, tracking, client referral, and other incentive programs.
  • Enters and activates new cases and billing information into ABS.
  • Confirms bill and pay rates are correct in schedules.
  • Manages and distributes birthday cards, condolences gifts, and other personal touches for the client.
  • Performs other duties as assigned.
