About The Position

At North Penn Animal Hospital, our Client Care Coordinators are the heart of our hospital. They are often the first and last point of contact for our clients and their pets, setting the tone for the compassionate, high-quality care we’re known for. We’re looking for a friendly, organized, and detail-oriented team member who is passionate about animals, client service, and teamwork. Position Overview The Client Care Coordinator serves as a receptionist and administrative support professional, providing exceptional service to our clients while supporting our doctors, technicians, and management team. This role combines customer care, scheduling, medical record management, and financial transactions in a fast-paced veterinary hospital environment.

Nice To Haves

  • Familiarity with veterinary terminology is a plus (training provided)

Responsibilities

  • Uphold and model the NPAH mission and values every day
  • Greet clients and patients warmly, professionally, and compassionately
  • Answer and triage incoming phone calls, providing information about hospital services and scheduling care
  • Schedule appointments and gather complete patient and client information
  • Prepare for appointments by retrieving records and preparing forms in advance
  • Check clients in and out, review services rendered, explain invoices, and answer questions
  • Collect payments, process credit cards, manage payment plans, and balance the cash drawer
  • Perform daily follow-ups, reminders, and client communications
  • Identify urgent medical concerns and promptly alert medical staff
  • Maintain accurate veterinary medical records and client accounts
  • Assist with prescription refill requests and routine medication instructions
  • Support over-the-counter sales of veterinary products and merchandise
  • Open and close the hospital as directed
  • Perform end-of-day and end-of-month procedures and reports
  • Assist with clerical duties including mailings, thank-you cards, reminders, filing, and supply organization
  • Work collaboratively with all team members to support patient care and hospital operations
  • Perform other duties as assigned
