About The Position

The Executive Assistant at Bessemer Trust will provide comprehensive administrative support to the Client Advisory Team, which includes an Associate Client Advisor, Client Advisor, and Senior Client Advisor. This role is crucial for ensuring seamless operations within the team, managing client communications, and handling various administrative tasks related to client service and account administration.

Requirements

  • Bachelor's Degree Required
  • 5-7 years of experience as an administrative assistant, preferably within a bank supporting a team.
  • Ability to work well in a team environment.

Responsibilities

  • Serve as the point person for client cash transactions and bill payment requests, requiring frequent communication with clients and transaction processing.
  • Screen incoming communications and route them for timely action and follow-up.
  • Maintain professional communication with internal and external contacts, including significant client relationships.
  • Compose well-proofed written and email correspondence using financial vocabulary and knowledge of the firm's operations.
  • Collaborate with Associate Client Advisors to create presentation materials for clients and prospects.
  • Organize meetings and luncheons, coordinating schedules and managing calendar invitations for the CA team.
  • Establish effective working relationships with colleagues and external contacts, providing flexible support as needed.
  • Provide direct administrative support to all members of the CA Team, focusing on cash management and bill payment functions.
  • Update contact information, send mass mailings, log calls, and create activities in Salesforce.
  • Maintain current Salesforce client records and manage external client communications and reports.
  • Perform bookkeeping and accounting tasks for various transactions as directed by the CA team.
  • Process expense reports and book travel for CA Team members.
  • Compile information and organize responses to Compliance and Audit-related requests.
  • Handle routine communication with clients and their advisors, documenting interactions in Salesforce.
  • Assist in preparing materials for client meetings using Excel, Word, PowerPoint, and internal applications.
  • File correspondence and documents in internal databases.
  • Work with Client Administration Support to open accounts and coordinate asset transfers to Bessemer.
  • Perform cash management functions in accordance with established procedures and fiduciary laws.
  • Process client remittances and assist clients' CPAs with tax information as needed.
  • Anticipate potential overdrafts and communicate with the team to prevent them.
  • Supervise and process client bill payments.
