The Client Accounts Associate plays a vital role in the operational infrastructure of the wealth management practice, overseeing the full lifecycle of client investment accounts. This position is responsible for the accurate and compliant setup, maintenance, and closure of accounts, as well as processing asset transfers, maintaining cost basis records, and ensuring all custodial and internal systems are up to date. Promotes an environment of teamwork within the department and across the bank. Represents INTRUST Bank in all they do in the community and is focused on the development of new business relationships. Must maintain strict standards of confidentiality and perform duties in a manner supporting INTRUST’s Character Qualities.

Requirements

  • Associate’s or Bachelor’s degree preferred.
  • 2+ years of experience in financial services, preferably in account administration, client operations, or financial operations.
  • Strong understanding of investment account types, account documentation, and custodial platforms.
  • High attention to detail and accuracy in a deadline-driven environment.
  • Excellent organizational, documentation, and communication skills.
  • A solid understanding of financial account structures, regulatory requirements, and a dedication to supporting both client and advisor needs with professionalism and efficiency.
  • Ability to manage multiple account workflows and priorities simultaneously.
  • Proficiency in Microsoft Office and CRM or portfolio management systems.

Responsibilities

  • Prepare, review, and process documentation for new account openings, maintenance requests (e.g., beneficiary updates, address changes, account linking), and account closures. Ensure all documentation is complete, accurate, and compliant with regulatory, custodial, and internal standards. Secure client signatures and coordinate with advisors and client service teams as needed. Track the status of account openings and closings, providing regular updates to all stakeholders.
  • Monitor and track incoming and outgoing asset transfers, ensuring timely and accurate processing. Maintain accurate cost basis information across client accounts and resolve discrepancies in coordination with custodians and internal teams.
  • Submit and track requests for system updates related to client information, account structures, or service preferences. Maintain data integrity across custodial systems and CRM platforms.
  • Manage onsite vault requests, including secure handling and retrieval of physical documents and assets. Provide copies of client documents upon request, ensuring confidentiality and proper documentation.
  • Work closely with client service teams, advisors, operations, and compliance to support account-related activities.
