Job Description Financial Management & Reporting Oversee a Home Owner Association (HOA) portfolio accounting team of 12 accounting professionals, including an accounting supervisor, lead accountants, and staff/senior level accountants. Oversee the monthly closing process, including review of complex financials, account schedules, reconciliations, accruals, and timely financial statement preparation in accordance with GAAP for assigned portfolio. Maintain a strong understanding of AP/AR/Banking functions and act as the liaison and escalation point to resolve complex or high-risk issues in these areas. Drive measurable financial quality improvement for 2026 focus associations Coordinate annual external audits, ensuring timely delivery of complete and accurate audit requested documents. Review board-approved budgets and coordinate appropriate resources to ensure accurate and timely input into reporting system. Manage the annual billing process in collaboration with the CSSC (Client Shared Services Center) billing & AR team. Manage fund transfers, including routine transfer and non-routine transfers, ensuring timely and accurate recording of the transfers. Manage special assessment process for the portfolio Manage and ensure accuracy of the Clearing accounts reconciliation process. Branch Management Manage the hospitality branch team of 6 FTE Own the relationship with the Hotel Residence Finance and Accounting Leads, the property Residential Leaders, and the CSSC. Support and facilitate efforts with Associa sales to grow the Hospitality Residential Service Line of business, including new contract review. Lead and manage the portfolio administrative team, ensuring effective team training, performance oversight, and service quality standards. Monitor Salesforce ticket activities to identify trends, recurring issues, and root causes; develop targeted process improvements and training solutions based on findings. Pilot tax letter preparation for selected properties, establishing standardized procedures and evaluating scalability for broader implementation. Handle special billing requests Establish regular communication with property leaders to gauge & measure success and address opportunities. Process Improvements, documentation, and trainings Manage and meet all KPI’s for the assigned portfolio for accounting and branch management. Identify the opportunities to enhance financial processes, improve efficiency, and strengthen internal controls across the portfolio. Develop and maintain comprehensive documentation of portfolio procedures and workflows to ensure consistency and scalability. Create standardized job aids and reference materials for residential leaders to drive clarity and alignment on financial processes. Lead and manage training initiatives for residential leaders and internal accounting team members to improve financial literacy, compliance, and operational effectiveness. Drive technology enhancements by evaluating current systems, identifying automation opportunities, and implementing more efficient tools to support daily accounting operations.

Requirements

  • Bachelor’s degree in Accounting or Finance.
  • 7-10+ years of accounting experience with 2+ years in a Senior Manager level leadership role.
  • Strong knowledge of US GAAP and real estate accounting
  • Proficiency in Microsoft Office (Word, Excel, Visio, PowerPoint, SharePoint).
  • Conflict resolution and customer service techniques at an expert level.
  • Project Management
  • Willingness to develop Community Association Management Knowledge
  • Excellent communication, leadership, and organizational skills.
  • Ability to manage multiple priorities in a fast-paced environment
