About The Position

The University of Maryland School of Medicine (UMSOM), Office of Medical Education, is recruiting a Clerkship Support Coordinator. Primary Duties: The Clerkship Support Coordinator provides comprehensive administrative and operational support to the Clerkship Directors and the clinical education team within the School of Medicine. This role assists in organizing and maintaining the operational functions of the clinical phases of medical school, supporting the delivery, evaluation, and continuous improvement of clerkship courses and advanced clinical experiences.

Requirements

  • Bachelor’s degree.
  • Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 undergraduate college credits being equivalent to one year of related experience. In instances where specific education and/or experience is required only directly related education and/or experience may be substituted.
  • Clery Act CSA designation; must comply with requirements.

  • Related administrative experience with program coordination as a primary responsibility preferred.

Responsibilities

  • Assist with student rotation scheduling (core clerkships + electives/sub-internships).
  • Monitor capacity and placements for clinical sites, preceptors, and departments.
  • Track duty hours and ensure schedules meet LCME and institutional requirements.
  • Support schedule changes, remediation placement, and make‑up experiences.
  • Manage calendars, emails, and meetings.
  • Assist with Introduction to Clerkship sessions.
  • Ensure site-specific onboarding requirements are met (EPIC, HIPAA, background checks, immunizations).
  • Maintain compliance documentation and confirm approval before rotations.
  • Ensure adherence to policies on duty hours, grading, and overall learning environment.
  • Assist with affiliation agreement tracking.
  • Monitor completion of clinical evaluations to meet grading deadlines.
  • Support faculty follow-up to ensure timely evaluation submission.
  • Compile evaluation data, exams, and other graded elements.
  • Support grade appeals, corrections, and documentation.
  • Assist Clerkship Directors with syllabi, assessment tools, and didactic materials.
  • Coordinate orientations, OSCEs, simulation days, workshops, and NBME shelf exams.
  • Maintain LMS course content.
  • Assist with Doctor of Medicine program faculty appointment tracking.
  • Support LCME documentation, audits, and continuous quality improvement processes.
  • Maintain logs, evaluation summaries, and materials for annual course reviews.
  • Use MedHub, VidaNovaVLE/Blackboard, Aquifer, NBME Portal, and related systems.
  • Support analytics tools (e.g., Power BI) for reporting and program evaluation.
  • Ensure documentation accuracy, security, and proper recordkeeping.
  • Assist with communications and faculty materials.
  • Perform other duties as assigned.
