About The Position

Performs highly complex clerical work. Work involves coordinating clerical activities; compiling and tabulating data; checking documents for accuracy; handling and transporting documents; and maintaining files. Works under limited supervision with moderate latitude for the use of initiative and independent judgment.

Requirements

  • Graduation from an accredited senior high school or equivalent or GED.
  • One year full-time, wage-earning customer service, clerical, secretarial, administrative support, or technical program support experience. Fifteen semester hours from a college or university accredited by an organization recognized by the Council for Higher Education Accreditation (CHEA) or by the United States Department of Education (USDE) may be substituted for each six months of experience.
  • Knowledge of office practices and procedures.
  • Knowledge of business terminology, spelling, punctuation, and grammar.
  • Skill to communicate ideas and instructions clearly and concisely.
  • Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public.
  • Skill to interpret and apply rules, regulations, policies, and procedures.
  • Skill in problem-solving techniques.
  • Skill to prepare and maintain accurate records, files, and reports.
  • Skill in the electronic transmission of communications.
  • Skill to type 45 words per minute (with no more than 10 errors) preferred.
  • Ability to walk, stand, sit, kneel, push, stoop, reach above the shoulder, grasp, pull, bend repeatedly, climb stairs, identify colors, hear with aid, see, write, count, read, speak, analyze, alphabetize, lift and carry under 15 lbs., perceive depth, operate a motor vehicle, and operate motor equipment.
  • Conditions include working inside, working around machines with moving parts and moving objects, radiant and electrical energy, working closely with others, working alone, working protracted or irregular hours, and traveling by car, van, bus, and airplane.

Nice To Haves

  • Experience in the use of Microsoft Office Suite or equivalent to include word processing, spreadsheet, database, or presentation software programs preferred.
  • Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations preferred.
  • Skill in the use of computers and related equipment in a stand-alone or local area network environment preferred.

Responsibilities

  • Types and performs word processing duties to include revising and modifying formats, forms, and records; reviews and edits reports, correspondence, and other documents; and opens, sorts, and distributes mail.
  • Reviews, verifies, and maintains statistical data; reviews data entry, retrieval, and data searches; reviews and edits information on agency records; receives, sends, and distributes fax transmissions; and maintains and oversees the maintenance of files and records to include automated information systems.
  • Organizes and maintains the office calendar, schedules, and appointments; answers telephones; responds to requests for information; and answers inquiries regarding rules, regulations, policies, and procedures.
  • Performs a variety of marginal duties not listed, to be determined and assigned as needed.
