About the position

The Clerk III Mail Room Cashier position at the Texas Health and Human Services Commission (HHSC) involves providing administrative and financial support services within a state-supported living center. This role is essential for ensuring efficient mail processing, bookkeeping, and inventory management while delivering excellent customer service to clients. The Clerk III operates under limited supervision, demonstrating initiative and independent judgment in their daily tasks.

Responsibilities

  • Receive, sort, date stamp, and distribute all campus mail from the post office.
  • Participate in daily runs to the local post office to pick up and drop off mail.
  • File and store completed purchase vouchers and journal vouchers.
  • Coordinate requests for materials, postage, registered mail, and office supplies with the Financial Officer.
  • Maintain storage, tracking logs, and release of personal effects.
  • Receive patient personal effects from admissions and unit drop-off boxes.
  • Perform annual escheats of patient's personal effects.
  • Coordinate with the Accounting Technician II or Accountant I in the distribution of payroll warrants.
  • Distribute cash per patient special requests or client outings.
  • Write receipts to reflect the source of funds and purpose of payment.
  • Reconcile the petty cash box and communicate with the Accountant I about replenishment needs.
  • Prepare daily receipts and bank deposits.
  • Receive funds through mail or at the cashier window and prepare documentation for deposits.
  • Assist the Property Department with annual asset inventory for accounting department assets.
  • Assist with canteen inventory if applicable.
  • Provide training on tasks to new employees in the same role.
  • Participate in disaster response and recovery efforts as needed.

Requirements

  • Valid Texas driver's license required.
  • Experience in a cashier's office setting or customer service environment, preferably in a state hospital or state-supported living center setting.
  • Graduation from a standard or high school or equivalent.
  • Experience with Excel and Microsoft Suite preferred.
  • Experience preparing and maintaining records, files, and reports.

Nice-to-haves

  • Knowledge of clerical and financial procedures.
  • Skill in using a personal computer and Microsoft applications including Excel, Word, and Outlook.
  • Ability to communicate effectively and train other employees.
