About The Position

Performs highly complex clerical work. Work involves coordinating clerical activities; compiling and tabulating data; checking documents for accuracy; handling and transporting documents; and maintaining files. Works under limited supervision with moderate latitude for the use of initiative and independent judgment.

Requirements

  • Graduation from an accredited senior high school or equivalent or GED.
  • One year full-time, wage-earning customer service, clerical, administrative support, or technical program support experience. Fifteen semester hours from a college or university accredited by an organization recognized by the Council for Higher Education Accreditation (CHEA) or by the United States Department of Education (USDE) may be substituted for each six months of experience.
  • Knowledge of office practices and procedures.
  • Knowledge of business terminology, spelling, punctuation, grammar, and arithmetic.
  • Knowledge of records administration and maintenance techniques and procedures.
  • Skill to communicate ideas and instructions clearly and concisely.
  • Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public.
  • Skill to interpret and apply rules, regulations, policies, and procedures.
  • Skill in the use of computers and related equipment in a stand-alone or local area network environment.
  • Skill to prepare and maintain complex records and files in an automated system.
  • Skill in the use of Microsoft Office Suite or equivalent to include word processing, spreadsheet, database, or presentation software programs.
  • Ability to walk, stand, sit, kneel, push, stoop, reach above the shoulder, grasp, pull, bend repeatedly, climb stairs, identify colors, hear with aid, see, write, count, read, speak, analyze, alphabetize, lift and carry under 15 lbs., perceive depth, operate a motor vehicle, and operate motor equipment.
  • Conditions include working inside, working around machines with moving parts and moving objects, radiant and electrical energy, working closely with others, working alone, working protracted or irregular hours, and traveling by car, van, bus, and airplane.

Nice To Haves

  • Computer operations experience preferred.
  • Experience in the use of Microsoft Office Suite or equivalent to include word processing, spreadsheet, database, or presentation software programs preferred.
  • Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations preferred.
  • Skill to type 45 words per minute (with no more than 10 errors) preferred.

Responsibilities

  • Prepares, reviews, edits, reconciles discrepancies in correspondence, reports, summaries, manuals, requisitions, records, and other related forms ensuring accuracy and completeness; performs and reviews data entry, retrieval, and data searches; and posts information to agency records.
  • Assembles, organizes, and tabulates data; develops charts, graphs, and tables; modifies forms and records; and maintains and oversees the maintenance of files and records to include automated information systems.
  • Oversees the receiving, storing, and issuing of hardware and software; ensures quality and compliance with specifications; and maintains and oversees information technology materials and supplies.
  • Answers inquiries regarding policies, procedures, rules, and regulations; responds to requests for information; assists in training session processes; and maintains office schedules and appointments.
  • Performs a variety of marginal duties not listed, to be determined and assigned as needed.
