The Clerk II (Nursing Education Clerk) performs moderately complex work and reports directly to the Nurse Educator. Provides technical, clerical, and administrative support services to the Nurse Educator and the Infection Control Practitioner. The Nursing Education Clerk routinely performs the following tasks within well-defined guidelines: data entry and retrieval, prepares and files routine reports, collects and organizes statistical data, drafts written summaries, develops/revises forms, as well as other related work as assigned. Develops, utilizes and/or evaluates various data bases effectively. The Nursing Education Clerk serves as a liaison between nursing and other departments/disciplines and the community, and does so in a positive, customer service-oriented way. Works under limited supervision, with moderate latitude for the use of initiative and independent judgment. Performs other duties as assigned. Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location. This position may also be eligible to earn additional pay for work performed on maximum security locations.

Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.
Performs clerical duties to include, but not limited to, office supply management, answering phones, taking messages, filing, copying, faxing, emailing, calendar management, preparing routine reports, collecting, and organizing statistical data, drafting written summaries, developing forms, assembling, compiling and organizing data, and performing data entry and retrieval for the Nursing Education Department.
Coordinates scheduling and training as well as other activities and duties associated with New Nurse Orientation (NNO). Activities include maintaining training schedules and arranging for location reservations, ensuring the NNO Manual updates are carried out on an ongoing basis, ensuring NNO Competency Checklists updates are implemented, administering NNO Testing Updates, updating the Electronic Manual, processing Pyxis paperwork.
Coordinates scheduling of interviews and assists the PNA IV Coordinator with proctoring interviews for PNA pool applicants. Assists with obtaining work references for PNA pool interviewees scoring high enough to be offered employment.
Coordinates scheduling and training as well as other activities and duties associated with Nursing Student Orientation. Activities include processing materials required for orientation, reviewing requests for clinical rotations, preparing clinical schedules, updating student handbook, collecting student evaluations, and entering data into the computer.
Serves as an effective member of the Nursing Education team and fosters a safe and risk-free work environment. Duties include infection control and prevention tasks, such as updating the database for patients per the Infection Control Practitioners instructions. Performs basic clerical responsibilities that include scheduling repair services for equipment.
Maintains annual training as well as any required department specific training.
Cross trains to assist with Nursing Administration clerical duties when the Nursing Administration colleagues are on leave, or out of office.
Performs data entry for HAI "Antimicrobial" (pts that are placed on antibiotics for both campus'), TB, Flu vaccinations (patient and employees), Antibiogram (labs for UA cultures), STDs, and filing for all the above for the Infection Prevention Department.
Performs other duties as assigned. Knowledge of and experience in using office systems such as Microsoft Office, Excel, Word, Power Point, and Outlook, spelling, punctuation, grammar, and arithmetic
Knowledge of Continuous Quality Improvement, Corporate Compliance, Emergency Preparedness Procedures, Infection Control Manual/Standard Precautions, Mental Health and Mental Illness, MHRS System, MSDS Sheets, Rights of Patients, and HHSC Departmental Rules
Skills in coordinating trainings, meetings, travel arrangements and conference calls
Skills in receiving and responding to complex phone calls and email inquiries in a positive and professional manner.
Skills in transcribing information timely and accurately from written or recorded materials.
Skills and ability to teach small and large groups policy and procedures.
Skills and ability to accurately observe and identify significant patient behaviors, and to accurately describe such events in the patient’s record.
Ability to prepare and maintain records, files, and reports.
Ability to meet deadlines and handle multiple, complex tasks with minimal supervision.
Ability to communicate effectively with department personnel, affiliates, HHSC personnel, and the public both verbally and in writing.
Ability to establish and maintain successful working relationships with others.
Ability to work discretely and maintain confidentiality when dealing with sensitive issues.
Ability to speak and provide training from educational materials in a classroom setting.
Ability to Perform CPR, Heimlich Maneuver, First Aide, and TIPs
If required to drive a state vehicle, must possess a valid Texas driver license or obtain it no later than 90 days after hire date to drive a state vehicle. Applicants with an out-of-state driver license must provide an original certified driving record from the state of driving licensure. Eligible driving record required based on HHSC Fleet Management policy.
At least two (2) years’ experience in a clerical work.
Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aid, Medication Aide and Employee Misconduct, List of Excluded Individuals/Entities (LEIE). Males between the ages of 18-25 must be registered with the Selective Service.
All applicants must be at least 18 years of age to be considered for employment at a state-operated facility. Waco Center for Youth applicants must be 21 years of age.
Compliance with HHSC immunization policy and state hospital operating procedures related to immunizations is required. According to the Centers for Disease Control and Prevention, healthcare workers are at significant risk for acquiring or transmitting hepatitis B, measles, mumps, rubella, varicella (chicken pox), tetanus, diphtheria, pertussis (whooping cough), and influenza. All these diseases are vaccine preventable. Vaccines may be provided. As a result, state hospital policy requires employees be vaccinated according to their level of contact with individuals. In the event you choose to not be immunized for the influenza virus, you may be required to wear a mask and take other protective measures.
