The Incident Management Clerk II works under direct supervision of the Incident Management Coordinator. This position performs general office duties as well as complex computer systems data entry and analysis. Responsible for oversight of and providing guidance to program staff in the development and integration of new methods and procedures associated with the Incident Management Department's data collection systems including the entry, organizing and monitoring the Client Injury Reporting System, and all other areas of data management in the department. The position will record and document meeting minutes for various Center and Committee meetings for the Incident Management Coordinator. The position also establishes priorities, standards, and measurements for determining progress in meeting goals. The position will work closely with the Facility Investigators and Campus Administrators with Unusual Incidents. The position will also serve as a liaison for the Center's Incident Management Department for communications with the Department of Family and Protective Services and the Office of Inspector General. Duties also include maintenance tracking systems and communication to investigators for deadlines of investigations. Other duties, as assigned by the Incident Management Coordinator, may include but are not limited to the preparation of reports, administrative data analysis, development and analysis of data relevant to the Center's Incident Management Systems, maintaining employee files, and development and implementation of automated systems for data collection tools to ensure the efficiency and integrity of data reporting.

Requirements

  • Working knowledge of business English, spelling, punctuation, grammar, arithmetic; and or modern practices and procedures.
  • Skill in word processing or shorthand to take and transcribe dictation of automated equipment and software.
  • Ability to type accurately at a speed consistent with work requirements.
  • Ability to apply knowledge of departmental rules, regulations, procedures, or principles of office management to work problems; to keep complex and confidential records; to prepare automated equipment to format forms and tables; to train other employees.
  • The Incident Management Administrative Assistant should demonstrate a dedication to public services and have a commitment to excellence in service delivery.
  • The Incident Management Administrative Assistant should have a history of establishing positive relationships with co-workers, the ability to effectively communicate information to others and understand/carry out instructions.
  • Ability to organize and maintain filing systems for the department.
  • Proficiency in MS Excel and MS Word, Access, demonstrates competence in Microsoft Office Package, etc. Ability to create and design custom forms and reports.

Responsibilities

  • The position performs complex computer data entry and analysis; prepares administrative reports including facility governing body.
  • Determines, implements tools for process improvement/automation for efficiency and integrity of data reporting.
  • Oversee data entry systems to ensure consistent and sound data integrity.
  • Oversees and provides guidance to program staff in the development and integration of new methods and procedures associated with the Incident Management Department's data collection systems required for advancing the organization's performance improvement efforts and service monitoring.
  • Prepare Incident Management documents for Open Records requests or submissions to State Office/DADS Regulatory
  • Provides data management and oversight to the Incident Management Team
  • As needed preparation of reports, administrative data analysis, development and analysis of data relevant to the Center's Incident Management Systems, maintains employee files, and development and implementation of automated systems for data collection tools to ensure the efficiency and integrity of data reporting.
  • Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.
