About The Position

The Clerk - Attendance HS position at Smith High School is designed to facilitate the efficient operation of the attendance office and provide clerical services to the assigned administrator. The role involves maintaining accurate attendance records for the campus and performing data entry of attendance records under direct supervision.

Requirements

  • High school diploma or GED.
  • Proficient skills in keyboarding, word processing, and file maintenance.
  • Effective organizational, communication, and interpersonal skills.
  • Ability to use personal computer and software to develop spreadsheets and databases.

Nice To Haves

  • Ability to speak/read Spanish.
  • Three years of successful secretarial or clerical experience preferably in a related field.

Responsibilities

  • Organize and manage the routine work activities in the attendance office.
  • Collect and enter attendance data into established database and verify accuracy according to established procedures.
  • Assist parents, students, and faculty with questions regarding student attendance.
  • Prepare and print reports, including attendance reports, grades, class or personnel rosters, end-of-semester reports, or accounting reports.
  • Call parents to verify student absences as needed.
  • Report all attendance problems to designated administrator.
  • Prepare correspondence, forms, reports, etc. for the assigned administrator.
  • Compile, prepare, and submit various reports for the office.
  • Make appointments and maintain office calendar.
  • Receive incoming calls, take reliable messages, and route all to appropriate staff.
  • Receive, sort, and distribute mail and other documents to staff members.
  • Maintain office files.
  • Maintain confidentiality of all information.
  • Provide excellent customer service to all students, staff, parents, and community members.
  • Order and maintain supplies.
  • Participate in staff development training programs when appropriate.
  • Keep informed and comply with all state and district policies and regulations concerning primary job functions.
  • Responsible for the input of TEAMS/PEIMS data as directed.
