About The Position

Provides comprehensive clerical and administrative support to the department, assisting in the smooth running of daily operations and ensuring tasks are completed efficiently and accurately. Responds effectively to general enquiries from patients and staff, primarily via telephone, offering clear guidance, directing callers appropriately, and ensuring that information is communicated in a courteous and professional manner. Undertakes a wide range of administrative duties, such as preparing documentation, maintaining records, updating systems, managing correspondence, and supporting routine departmental processes as required. Demonstrates strong communication skills and the ability to multitask, maintaining accuracy and attention to detail while prioritising a varied workload in a fast ‑ paced environment. Delivers a high ‑ quality, patient ‑ focused administrative service, ensuring that accurate information is provided promptly and that interactions contribute positively to the overall patient and staff experience. Advert To provide admin support to the Podiatry department. This will involve taking calls from patients and clinical staff, assessing their requirements and finding solutions. Admin staff will take on several key tasks that will need to be performed in a timely and accurate manner. Full training and support will be provided for this role. Responsibilities

  • Responds professionally and effectively to telephone enquiries, ensuring that all queries are handled promptly. This includes verifying information with clerical teams and patients to maintain accuracy and service quality.
  • Communicates clearly and appropriately, both verbally and in writing, when sharing routine information with patients, colleagues, and wider staff groups. Ensures that all communication is delivered in a courteous, accurate, and timely manner.
  • Makes informed, straightforward judgements based on available facts, information, and situational needs. Some decisions require interpretation or analysis, applying sound reasoning within defined procedures.
  • Plans, organises, and prioritises own workload to meet service demands.
  • Provides administrative support by arranging meetings, preparing documentation, and coordinating schedules for other staff as required.
  • Engages with patients on non ‑ clinical matters, such as appointment scheduling, directions to services, and explanations of local administrative processes. Ensures all patient interactions are professional and supportive.
  • Adheres to all Trust-wide and local departmental policies and procedures, ensuring consistent application of standards, governance, and best practice.
  • Supports the induction and development of new or less experienced colleagues, demonstrating routine administrative tasks and sharing knowledge to promote effective team performance
  • Participates in surveys, audits, and data ‑ collection activities relevant to the role. This may include completing staff surveys, contributing to basic audit pro ‑ formas, or supporting service ‑ improvement initiatives.
  • Inputs, stores, retrieves, and reports information across relevant systems, ensuring accuracy and compliance with data ‑ quality requirements. Collate and presents non ‑ complex datasets when required.
  • Manages routine administrative processes efficiently, ensuring workflows are completed to required standards and within expected timeframes.
  • Liaises effectively with management, clinical, and non ‑ clinical colleagues across The Royal Wolverhampton NHS Trust, as well as with external healthcare organisations, to support coordinated service delivery and smooth operational communication.
