About The Position

The Clerical Associate - L III (Provisional) position at NYC Health + Hospitals involves working at the Woodhull Medical and Mental Health Center in Brooklyn. The associate will be responsible for patient verification, managing demographics, and handling various administrative tasks related to patient care. Requirements

  • A high school diploma or its educational equivalent.
  • Six (6) months of full-time satisfactory clerical experience and/or experience interacting with the public.

Responsibilities

  • Patient verification and management of demographics for clinical experience.
  • Provide outstanding customer service in collaboration with Woodhull staff and external affiliates.
  • Demonstrate professionalism and courtesy toward patients and colleagues.
  • Check-in and check-out patients in the Epic system in a timely manner.
  • Complete end-of-the-day No-Show entries in the Epic system for the Medical Clinic.
  • Register patients and verify demographic and insurance information, including PCP assignment.
  • Check for Medicaid restrictions for patients covered by Medicaid.
  • Ensure PCP assignments match those in the Epic system.
  • Refer non-insured, new, and out-of-network patients to the Financial Counselor.
  • Collect copayments and palm scans at the front desk point of service.
  • Refer patients making copayments by cash or check to the Cashiers office.
  • Obtain required signatures for consents and information on Advance Directives.
  • Open patient visits in a timely manner and capture all data correctly.
  • Answer and triage telephone inquiries appropriately.
  • Triage and schedule incoming referrals in a timely manner.
  • Ensure follow-up appointments are made for patients.
  • Engage in pre-registration and Mychart activation initiatives to improve scheduling and patient satisfaction.
  • Review AVS for instructions on follow-up appointments.
  • Ensure communication to clinical staff is sent via Epic.
  • Maintain integrity of PHI.
  • Assist in sending and documenting correspondence to patients in Epic.
  • Report broken or malfunctioning equipment to the appropriate department.
  • Escalate patient complaints to the supervisor or practice administrator.
  • Participate in staff meetings and training sessions.
  • Contribute to access projects, performance improvement, and Breakthrough activities in the department.
  • Address patient flow issues and satisfaction.
