About The Position

The Clerical Administrative Assistant I position in Camilla, GA is a salary non-exempt role that involves various clerical and administrative tasks to support the operations of Golden Peanut Co and ADM. The role requires full compliance with employee safety and food safety laws, regulations, and rules. Responsibilities include operating scales for incoming and outgoing trucks, preparing paperwork for shipments, verifying received lot/variety/generation matches, documenting daily logs, and assisting in warehouse management systems (WMS) clerical duties. The position also involves maintaining cleanliness in the office, greeting visitors, answering phone calls, and performing errands as requested. The role may require overtime during peak seasons and involves a commitment to teamwork and adaptability to changing workloads.

Requirements

  • 2+ years of clerical experience.
  • Willingness to adapt to changing workload priorities to support overall deadlines.
  • Strong familiarity with office concepts, practices and procedures.
  • Competent and proficient understanding.
  • Experience at working both independently and in a team-oriented, collaborative environment is preferred.

Responsibilities

  • Full compliance with all employee safety and food safety laws, regulations and rules of Golden Peanut Co and ADM.
  • Operating scale for Incoming and Outgoing trucks for finished product, seed product, and farmer stock.
  • Prepare paperwork for shipments of finished product, seed, and farmer stock in appropriate inventory systems.
  • Verify received lot/variety/generation match paperwork going on truck.
  • Identifying proper warehouse and bin based on product segregation.
  • Document daily log with information of finished product, seed, and farmer stock trucks received/shipped and their corresponding information.
  • Printing and signing proper documents for shipping finished product, seed, and farmer stock.
  • Assist in WMS clerical duties for seed shipments and receipts.
  • Ability to decipher lot codes and send documentation to proper locations for invoicing based on house number and plant where product was produced.
  • Separate and file grade sheets for incoming loads.
  • Incoming finished product loads will be entered into the CS layout inventory.
  • Send documentation to Alpharetta office for verification of receipt if incoming shipments.
  • Proficient in multiple inventory systems for receipt and shipment of finished product, seed, and farmer stock.
  • Ability to learn and operate in multiple inventory and shipment systems.
  • Capability of proficient use in McLeod, IBM, CICS, WMS, PPS, and Excel systems.
  • Ability to perform Mock Recalls for food safety purposes.
  • Filing of food safety documents for regulatory audits by 3rd party audits, internal audits, USDA audits, and Department of Ag audits.
  • Record retention inventory controls.
  • Record retention document security.
  • Upkeep of record retention log.
  • Availability of overtime hours during harvest, seed season, and as needed based on business requirements year round.
  • Retention of up to date contractor training documents.
  • File hard copies of invoices and BOL.
  • Send all shipping documents to Alpharetta for invoicing.
  • Manage inventory in CS layout.
  • Provide CS with inventory count sheet.
  • Reconciles physical inventory to IBM and CS layout systems.
  • Lot movement from CS layout in Power BI.
  • Maintains Visitor sign in log.
  • Greet visitors, ensure they sign in and complete any necessary documentation or training.
  • Maintain cleanliness and order in the front office area.
  • Answer and transfer inbound phone calls to proper recipient.
  • Errands upon request.
  • Contributes to team effort.
  • Other Duties as assigned.
