About The Position

The Diocese of Toledo is seeking a full-time Administrative Assistant for the Clergy, Consecrated Life, and Vocations Department. This role involves providing essential administrative and clerical support to ensure the efficient operation of the department, aligning with the mission and values of the Diocese. The position requires strong organizational skills and proficiency in Microsoft Office, along with the ability to manage various tasks and events throughout the year.

Requirements

  • At least three (3) years of experience in a professional office environment performing administrative duties, including experience in record keeping, computer databases, and spreadsheets; typing and filing.
  • High level of computer expertise in Microsoft Office products, including Word, Excel, PowerPoint, and Outlook.
  • Strong interpersonal, written, and verbal communication skills, including the ability to produce clear, concise reports and correspondence.
  • Demonstrated ability to set priorities and organize work effectively and efficiently, including developing and maintaining effective record-keeping systems and calendars.
  • Exceptional level of service to employees, priests, and pastors by responding to inquiries quickly, completely, accurately, and professionally.
  • Ability to exercise independence and judgment with a high level of confidentiality, working with sensitive and privileged information.
  • Ability to respect, promote, accommodate, and not be in conflict with the mission, moral and social teachings, doctrines, and laws of the Roman Catholic faith.

Responsibilities

  • Process correspondence (written and phone).
  • Develop and/or compile lists, memos, forms, schedules, policies, and procedures as directed.
  • Responsible for copying, collating, and distributing materials.
  • Maintain files for departments as requested.
  • Assist with various events throughout the year for Clergy (i.e., Priests Picnic, Priests' Jubilee, etc.).
  • Prepare monthly budget reports for each department in the Clergy, Consecrated Life, and Vocations Department.
  • Perform all receptionist duties, including recording clear and accurate messages, greeting, and meeting all visitors and handling routine questions.
  • Manage Priest Evaluations and Deacon evaluations.
  • Maintain website and database, including regularly updating material and data.
  • Monitor and order office supplies.
  • Work on related special projects and perform other duties as assigned by the director.
