About The Position

The Civil Rights Administrative Coordinator acts as the first point of contact for the Civil Rights Department and will support our day-to-day operations through a variety of tasks to manage our incoming communications, client intakes and correspondence, and to ensure the smooth and efficient operation of the department. The ideal candidate will be detail-oriented, self-motivated, highly organized and proactive, and capable of multitasking in a fast-paced environment.

Requirements

  • At least 1+ years of experience in operations or administrative coordination.
  • Working knowledge of Microsoft Office Suite.
  • Superb organizational and time management skills, with a strong attention to detail.
  • Excellent verbal and written communication skills.
  • Professional integrity and ability to maintain confidentiality of sensitive data.
  • Strong organizational skills, detail-oriented, ability to multi-task, and meet deadlines.
  • Ability to work independently, be flexible, and work well under pressure in a fast-paced team environment.
  • Ability to interface with community members, clients, and potential clients with a high degree of professionalism and care.
  • Personal accountability and ability to take initiative and direction.
  • Access to a working vehicle and the ability to drive throughout the Greater Los Angeles Area.

Nice To Haves

  • Conversational proficiency in Arabic, Farsi, Dari, or Urdu.
  • Nonprofit work experience.
  • Experience working with the American Muslim community and/or working with people from diverse cultural and socio-economic backgrounds and/or non-profit organizations.

Responsibilities

  • Responding to all incoming communications including answering phone calls, maintaining the department's voicemail box and email inbox, and properly following up with intakes received online.
  • Directing incoming communications to appropriate staff as needed.
  • Conducting initial legal intakes and following up with clients and potential clients via phone, email, and text.
  • Drafting and sending out client correspondence, including retainers, referrals, and closing letters.
  • Mailing outgoing correspondence and overseeing incoming mail distribution, review, scanning, processing, and filing.
  • Organizing and maintaining all department documents including scanning, uploading, and filing physical and electronic copies.
  • Assist with calendaring and scheduling internal and external meetings.
  • Supporting grant deliverables including timely collecting and reporting data and statistics.
  • Supporting litigation efforts as needed.
  • Supporting intern and clerkship recruitment efforts and supervision as needed.
  • Supporting Operations with the onboarding of new department hires, clerks, and interns and organizing onboarding schedules and training.
  • Maintain and update department contact and referral lists and resources.
  • Assisting with organizing special civil rights events, forums, and outreach efforts.
  • Providing additional support to civil rights staff with other office tasks as needed.
  • All CAIR staff are required to help with fundraising efforts as required.
  • CAIR staff may be required to attend some weekend or weekday evening events.
