About The Position

We are seeking a Child Care Program Coordinator to oversee our Willow Tree Learning Academy and our residential daycare. The coordinator will be responsible for the coordination, development, and operation of the childcare program staff, facility, budget and licensing requirements. The coordinator will schedule hours to ensure adequate coverage at both locations and will step in as needed to maintain ratios and provide direct supervision to staff. During times when public schools are not in session, the coordinator will spend the majority of their hours working in the residential daycare.

Requirements

  • High School Diploma or GED required.
  • Minimum of 3 years’ experience in childcare or a preschool setting.
  • Responsible for the coordination, development, and operation of the childcare program staff, facility, budget and clients.
  • Possess management skills which include supervision, communication, decision-making, time management, and organization.
  • Ability to work with the Program Team to establish and maintain procedures for the admission, participation, and discharge of clients from the day care program.

Nice To Haves

  • Associate’s degree in early education, elementary education, child development, or related field preferred.
  • Preference given to individuals holding a current teaching certification or actively pursuing re-certifications.

Responsibilities

  • Responsible for ensuring the child care program meets all licensing requirements established by regulatory bodies.
  • Ensure accurate and complete child care records are maintained.
  • Ensure childcare site and equipment are safe, clean, and in compliance with all applicable regulations.
  • Must apply to the WVSTARS registry and be willing to obtain a minimum of 15 hours of Stars approved training, preferably in the areas of Special Education or Early Childhood Development, yearly.
  • Monitor that staff are always maintaining safety and well-being of children as individuals and as a group.
  • Monitor staff’s use of materials for daily instructional programs for childcare including individualized age-appropriate developmental activities and skills, documentation of children’s progress and record keeping, seasonal room décor, and snacks.
  • Monitor the Before/Aftercare program as to activities and promoting the program for the school year.
  • Ensure all new student enrollment forms are completed and meet guidelines.
  • Monitors supervision of the staff for in Willow Tree and residential daycare.
  • Develop an annual internal training calendar in conjunction with human resources and schedule appropriate staffing/training meetings for all childcare staff.
  • Provide written supervision to staff on a regular basis with feedback regarding performance.
  • Work in conjunction with HR to complete evaluations, disciplinary actions, hiring, etc.
  • Provide support for all record keeping efforts by childcare staff, particularly sign-in and out sheets tracking services used; including Title XX, serve as a support person to the agency accountant in reconciling any client accounts that are from before or after care.
  • Order materials for daily instructional programs at the traditional before and after care programs, including age-appropriate activities, equipment, supplies and snacks.
  • Assure that all regulations, including childcare licensing, residential licensing, COA, CACFP, are adhered to by staff in all locations.
  • Ensure that parent/guardian is informed of daily progress of child by staff.
  • Conduct monthly site inspections and filling in as a substitute when needed.
  • As a mandated reporter, immediately report any suspected abuse/neglect or concerns to supervisor and appropriately refer as required by law.
  • Maintains staffing schedules for before and aftercare program as well as residential daycare, finds subs or steps in for staff when there are call offs.
  • Shows flexibility in hours and days to allow for programming needs, such as: Trainings, Family Nights, Before and After School and UPK Program coverage, Staff/Supervision Meetings, Summer Programming, etc.
